Job Title: Operations Manager
Responsible for the day to day operations of the school premises. To include but not limited to; maintenance, minibus operations, facilities hire and catering, to ensure the school operates compliant with necessary regulations and health and safety standards.
The role requires management experience as well as knowledge of Health and Safety Laws and Data Protection Regulations.
Premises and Maintenance:
· To be aware of and report all buildings, maintenance and grounds’ issues to the DFO.
· To manage, alongside the DFO, any building works that may be carried out, liaising with builders, architects, contractors, planning consultants etc. as required.
· To liaise and work with the necessary energy consultants to ensure the school is operating as efficiently as possible.
· To attend weekly meetings providing constructive updates to the DFO.
· Responsible for the preparation of Governor Board papers, for the DFO to present to the Premises sub-committee.
· To support the DFO booking all compliance inspections and servicing and testing of site equipment, and site surveys, as necessary and in accordance with regulations.
· To attend weekly meetings with the School’s Site and Maintenance team, feeding back to the DFO any issues raised and keeping the compliance checklist up-to-date.
· Direct Line Management of the Site team.
Facilities Hire:
· To be responsible for the bookings and hire of the School’s letting facilities carrying out all necessary administrative paper work and procedures, i.e. booking forms, risk assessment and safeguarding matrix, maps, T&C’s, advising on rental prices and informing the Assistant Bursar of any invoicing required.
· To ensure the School events calendar is kept updated appropriately.
· Liaise where necessary with the School’s Designated Safeguarding Lead.
Health and Safety
· To understand Health and Safety Regulations and ensure all processes are compliant, reporting any issues to the DFO.
· To liaise regularly with the School’s external Health and Safety consultants ensuring they are completing their termly site visits and reporting back on any Health & Safety concerns within the school.
· To work with the Health & Safety consultants to ensure all risk assessments (including the annual fire risk assessments) are kept up-to-date and regularly reviewed and amended as necessary.
· Responsible for the preparation of Governor Board papers, to present to the Health & Safety sub-committee and to chair the termly meeting.
· Maintain a record of any incidents or near-misses.
Data Protection:
· To be Data Protection Co-Ordinator for the school.
· To monitor internal compliance with GDPR.
· To inform and advise on the School’s data protection obligations.
· To have a strong knowledge of both data protection law and how the school uses personal data.
· To work alongside the DFO to establish policies and procedures in terms of data protection.
Catering:
· To oversee the contract caterer and their operations.
· To manage day-to-day issues problem solving when required.
· To attend weekly meetings with the Catering Manager and to provide weekly updates to the DFO, to include issues and resolutions.
· To support the DFO in booking all compliance inspections of catering equipment as necessary and in accordance with commercial catering regulations.
· To oversee the development of menus in-line with the school’s nutrition plan.
Mini-Bus Operations:
· To oversee the running of the mini-bus operations and team day to day.
· Direct Line Management of the Minibus Co-Ordinator.
· To be responsible for ensuring all regulatory compliance checks are complete including 10 week safety inspections and Section 19 permits.
Cleaning/Housekeeping
· To work with the Housekeeping Manager to ensure appropriate standards are met at all times.
· To ensure all health and safety regulations are adhered to.
· To attend weekly meetings with the Housekeeping Manager, reporting back to the DFO.
