Reporting to: Senior Director, FM Operations
Location: Site based at Oxford Science Park (moving to Oxford Business Park in Q4 2023)
Purpose of the job
The Lab Operations Manager at Gilead Oxford is a key role within our team. Reporting to the Senior Director for FM Operations (based in Uxbridge), you’ll be a highly organized and dynamic individual and will work closely with the leadership team including the Site Head and provide critical support to ensure everything runs smoothly and seamlessly within the lab and office space.
This is a key appointment as the team are due to relocate to a new location within Oxford in late 2023. The Lab Operations Manager will play a key part of the project to ensure the move is managed seamlessly, working within the business to communicate changes and ensure implementation and change activity is managed appropriately.

The Oxford team joined Gilead Sciences in August 2022 through an acquisition. As Gilead’s first UK research site, the team develops best-in-class agonist antibodies targeting immune inhibitory receptors, a novel approach to the treatment of inflammatory diseases. As a team of around 40 people, we work very collaboratively. This is an exciting year as we are due to relocate to a new office and lab on the outskirts of Oxford at the end of 2023.
This role resolves facility and service issues in both office and lab settings to include;
Lab Operations
- Organising and monitoring the work of contract service providers for repairs and services in both the office and lab settings
- Responsible for ensuring service vendors perform installation, repair, calibration and preventive maintenance of Research laboratory Instrumentation & equipment in accordance with Gilead SOPs with GLP standards
- Coordination of shipments, goods in/out for lab material and samples to include completion of all required documentation
- Maintenance of lab equipment inventory and scheduling vendors for repairs and maintenances
- Conducting periodic lab walkthroughs, identifying safety, security, equipment and operational inefficiencies along with any other area of improvement opportunities
- Managing inventory in all on-site storage rooms (including lab equipment/supplies, lab casework, office furniture and supplies)
- Initiates and implements plans to develop and improve areas in laboratory operation for greater efficiency, productivity and quality
- Develop, maintain and present KPI monthly metric dashboards on internal quality compliance deficiencies and Lab Ops on-time performance
- Addresses regulatory audits on laboratory instruments and equipment when applicable
- Maintain cost financials for Lab Ops; vendor contracts, purchase orders and unscheduled work invoices
General Office Management
- First point of contact for all onsite services to include cleaning, maintenance, free issue & vending, mail, shipping & receiving and waste programmes
- Liaising with Landlord and Building Management Teams to ensure all parties are meeting lease commitments
- New hire onboarding and inductions and leavers process
- Visitor management and oversight of reception to include covering breaks
- Supporting leasehold improvement projects, site moves and relocation of facilities and services
- Space planning – internal moves and occupancy management
- Working with IT to maintain access to equipment and onsite support
Stakeholder Management & Business Partnering
- Working with the Office Manager to organize and manage site wide events, meeting room set up and catering
- Work closely with Gilead Regional FM to implement global initiatives, projects, and improvements
- Collaboration with teams in the local site across science teams and with the Site Head and with Corporate Operations colleagues in our HQ in Foster City, US
Health, Safety & Compliance
- Coordination with security for access control, cctv and adherence to company security requirements
- Compliance with company compliance policies, health and safety campaigns and audits
- Creating and reviewing risk assessments, reviewing and updating COSHH documents
- Appointment Person for all site EHS activities including fire training, first aiders and incident/accident investigation and reporting
- Main point of contact for site including emergency incident management out of hours
- Sustainability champion to include creating and leading a green team and executing against Gilead’s ESG agenda
Finance
- Budget management and reconciliation of department expenses
- Effectively and accurately manage the Lab Services budgets, developing key relationships with the business and Finance functions to ensure accurate forecasting and reporting of services costs.
Other
- Other associated tasks as directed by line management
Required skills and experience
- A good level of experience in a similar role and with a passion for employee experience

- Solutions focused mindset with strong problem-solving skills
- Fluency with EH&S compliance and crisis management practices
- Proven track record of successfully managing Lab based services in Research environments
