The Role

We are looking for an experienced Operations Manager to join Evoke London, a leading health and wellness marketing and brand communications agency. This role will support the Operations Director in overseeing the day-to-day operations of the agency, managing internal agency projects, and increasing efficiencies within the team. The ideal candidate should have a proven track record of managing complex projects, excellent organisational and communication skills, and experience working in a fast-paced, deadline-driven environment.

Responsibilities:

  • Proactively manage and prioritise tasks to support the day-to-day operations of the agency
  • Support the Operations team in optimising the company's systems, processes, and practices to achieve high performance, and statutory and industry compliance. This includes identifying operational opportunities to increase effectiveness and cost savings and supporting on operational projects
  • Act as a liaison between various departments and team members, building relationships across the Evoke platform and Inizio operations
  • Establish a good level of credibility and manage strong working relationships with external parties including contractors, suppliers etc.
  • Support with creating and updating process documentation and the collation of the employee handbook
  • Manage access to system folders, including access to Team and Box
  • Responsible for coordinating new starter onboarding, including updating team slides, head shots, new starter forms, induction schedules, welcome email, and technical requirements – working with Talent Acquisition, HR and IT
  • Manage freelance contracts and NDAs
  • Support the business growth of the agency by opening jobs, system folders and assisting with marketing activities
  • Assist with keeping the Evoke intranet updated, working with marketing and internal agency teams
  • Support with keeping email distribution lists updated with IT and group Teams channels
  • Assist with disseminating updates on Evoke's DE&I initiatives and Learning and Development offerings to the team
  • Manage agency meetings, collaborating with all contributors and collating and owning presentations
  • Provide general office support, including booking meeting rooms and planning AV requirements
  • Manage community action week and charity events, liaising with other platform agencies, marketing, and EL leadership
  • Help plan and organise social activities to promote a positive and collaborative work environment
  • Coordinate celebrations for team birthdays, anniversaries and team gifts

Skills & Experience:

  • Proven experience in operations or in a similar role
  • Proactive with the ability to work independently and be motivated to take ownership of tasks
  • Strong organisational and time-management skills with great attention to detail
  • Excellent communication skills with the ability to build relationships across the agency
  • Work flexibly and be adaptable
  • Be passionate about people and work with a collaborative team
  • Understanding of office operations, processes, and technology
  • Experience in event planning and organisation
  • Knowledge of project management methodologies is a plus
  • Ability to manage multiple projects simultaneously
  • Creative solution finding
  • Proficient in Microsoft Office (Outlook, Teams, PowerPoint, Word, Excel)
  • Experience using Zoom and IT ticketing software desirable
  • Experience working with finance technologies such as Maconomy is a plus, but not essential
