Operations Manager

Part-time 21 hours per week

Home working with some travel to the training centre in Swindon

Salary: £32-38K pro rata

APA Procurement Training provides apprenticeships and professional commercial qualifications and development courses.

We have an opportunity for an Operations Manager to play a key role in the organisation of our training and development activity. This role sits at the heart of the company and is critical to ensuring that the organisation runs efficiently and effectively and so enables learners to achieve the best training experience to realise their development goals.

The Operations Manager will work closely with the Training Programme Managers, the Marketing Manager and Course Coordinators to provide the effective framework within which training and development activity can be delivered to learners. The focus of the role includes overseeing course organisation, coordinating the provision of information and guidance for learners, regulatory and compliance management, and assisting with financial management and administration. The postholder will also play a key role in learner safeguarding and wellbeing.

Job description

Main Responsibilities

Overseeing training course and apprenticeship programme coordination

Coordinating the provision of information, advice and guidance to learners

Implementing and maintaining administration management procedures and office systems

Finance coordination – maintaining financial records, invoicing, credit control

Database management – OneFile apprenticeship learner management system and bespoke organisation online database

Coordinating learner safeguarding and wellbeing activity

Human Resource Management coordination – recruitment, induction, personnel records

Assisting with providing information and coordinating APA’s regulatory requirements including for the Chartered Institute of Supply Chain Management, the Education and Skills Funding Agency, Ofsted and Matrix

Communicating with and responding to requests for information from current and prospective clients

Other Responsibilities

Organising internal and external meetings with learners and line managers

Dealing with correspondence, complaints and queries

Completing New Supplier forms and tender documents.

Engaging in continuing professional development and training activity to maintain relevant up to date knowledge and expertise

Complying with safeguarding and Prevent Duty policy and practices and attending training.

Participating in activities and developments such as improvement meetings and training which are relevant to the role.

Promoting an appropriate public image in representing the company.

Salary: £32,000.00-£38,000.00 per year
