We are looking for an Operations Supervisor for an ongoing temporary assignment, working for a fantastic organisation, based just a few miles from Cambridge City Centre. This is a full-time position, working Monday-Friday 1.30pm-9.30pm.
Working closely with the Operations Manager, you will assist in the development of the site’s strategy, to create an inclusive, collaborative and forward-thinking facility. You will provide support on daily operational processes for the building and manage the facilities management functions, to ensure cleaning, the servicing of teaching facilities and public spaces, minor maintenance and security services are carried out efficiently.
Duties will include processing event requests and approve bookings, provide planning for the delivery of event set ups and feeding back on booking frequency. Provide detailed end of day reports of activities and flag operational concerns as they arise. Maintain Health and Safety compliance procedures and manage on site contractors.
Ideally, you will have previous experience of working in events management in a multi-use venue. Essential to the role is the management of a small team of Operation Assistants, to ensure they are not only working effectively together, but they are completing the tasks required of them. You will also be expected to cover the Ops Assistants duties as and when required.
Principle Responsibilities:
You will be responsible for undertaking daily operations to include:
- Provide planning for the delivery of room set ups on site, collaborate with the Hospitality Services Administrator and IT technician on delivering an exceptional event experience that is event Industry level
- Ensure that teaching rooms are serviced and set out prior to the commencement of teaching and to the standard set out in the operating procedures
- Liaise with Security Service and contractors regarding security of building issues as required. Support access for staff and contractors, act as authorised signatory for access to card holders in the department, ensure building is locked and unlocked appropriately
- Ensure that cleaning and window cleaning services provided by contractors are provided to the standard set out in the cleaning schedules. Ensure that waste is managed in accordance with the operating procedures
- Monitor the Building management system, respond to alarms in the building (computer alarms, intruder alarms, lift alarms etc.) Disable and enable fire alarm system zones as required by contractors, members of staff or in emergency situations. Test the fire alarm system with maintenance staff, be a contact for out of hours buildings issues and alarm activations
- Maintain Health and safety compliance, supporting contractors when on site including, sign in, health and safety, fire induction and issuing of hot works and roof permits. Perform weekly, monthly and annual testing of fire, security alarm systems and access, lighting systems. Reporting areas of concern to management. Ensure equipment is in safe working condition, make arrangements for repairs where necessary, have an awareness of building management issues e.g., location of major fuses, controls etc. in case of emergencies
- Be an active member of the emergency operation procedures
- Oversee the Facilities Co-ordinators, helping cover break times and resolve issues as they arise and role model best practise in customer service. Plan daily tasks between the staff including during periods of absence due to sickness or leave, create rosters and shift systems to ensure adequate staff levels including evenings, weekends and special events, request allocation of other staff or temporary staff to maintain services
- Undertake publicity activities. Maintain and update the website, publicise events and activities, produce newsletters and disseminate information using appropriate media
- Deputise for the Operations Manager when needed including at meetings and with clients and internal departments as needed
- Process end of day report data for the business tracking log to ensure usage of the building is being captured and analysed
- Monitor and patrol all levels of the facility throughout the day, ensuring that spaces are being used in line with intentions and that bookable spaces are working correctly, spaces are always clean and presentable and maintain egress routes
The successful candidate will be able to demonstrate:
- Experience of working in a multi-use venue, either commercial or educational preferably within a building that has public access
- Experience in events management
- Experience of working in an operational role with varied priorities
- Experience of working to a diverse customer base, and the ability to manage competing priorities across users and internal departments
- Experience of reporting and managing data, event contracting experience and finance process
- Experience working with contractors and internal departments providing supporting services
- Operational knowledge including daily operating processes such as opening, closing, emergency operating procedures and daily reporting
- Experience in Event delivery and planning
- Marketing skills including content creation, website updating social media knowledge
- A level standard of education/NVQ level 3 vocational qualifications or equivalent level of practical experience
- First Aid trained, Fire warden trained, COSHH trained or willing to undertake training
