Job title: Operations Manager
Responsible to: Directors
Summary:
5ab Care, a residential children's home provider, is currently recruiting for a driven individual who brings a thorough working practice with them. A chance to be a part of a morals-based ethical organisation that brings a new dynamic to the industry.
The Office Operations Manager will be underpinning all areas of the organisation and will be responsible for managing, organising, forecasting and ensuring all back office operations are delivering key support to the homes.
This role will demand an organised and meticulous individual who can manage and train their own team. This will all be underpinned by the 5ab Care ethos of providing care in line with our morals and ethics.
Key responsibilities:
Essential
- Responsibility - to be able to take tasks, understand them and utilise their team to deliver to agreed deadlines. Recruit, manage, develop and motivate your people, including managing performance standards
- Proactive - able to think proactively and plan ahead to minimise risk to the business
- Innovative - to report on current status of workload, present back challenges and decisions for Directors and future ideas
- Effificient - to achieve cost and time effificiencies operationally
- Finance - Centrally manage fifinances for head offifice expenses, i.e. management reporting, reconciliation, profifit and loss, petty cash, bank transfers, and card limits
- KPI’s - Utilise team to deliver Recruitment, Admin, Referrals and Maintenance to deliver all KPI’s
- Decision maker - to be able to critically think, analyse and make cruicial decisions underpinned by a cost vs benefifit analysis
- Collate and present - Confifidently present through a suite of apps so Directors are able to clearly see workings
- To organise all homes admin - e.g. staff on boarding, vehicle expenses and training organisation
- Training - Effificiently planning and facilitating training needs of homes and ensuring maximum use of trainers. Also to ensure their own team is upskilled and trained effectively
- Recruitment - To be responsible for all onboarding of candidates in line with schedule 2
- Maintenance - Managing the tracker, sourcing materials, liaising with the homes and contractors to organise works effectively and obtain quotes
- Referrals - To assist Commissioning with offers, tenders and contracts
- Market comparision to achieve cost effificiency - comparison of providers to present back to Directors
- Ad hoc administrative tasks and taking direction from Directors.
Person specification:
Key Skills
- A proven track record of successfully managing teams and delivering KPI’s
- A good understanding of the Childrens Care industry in order to support the homes
- Financial background in order to shape the companies growth strategy and report on current financial status
- Strong people and operational management experience with a proven success of service delivery and people development
- Strong organisational and planning skills in order to manage work loads
- Meticulous eye for detail to uphold the quality ethos of the company
- Excellent interpersonal skills and an approachable, confident (positive) outlook
- Must be able to be pro-active and work in a fast paced environment and under pressure.
