Would you like the opportunity to work within a growing, dynamic team within a niche wealth management firm? We are seeking to hire an Operations Associate, reporting into the Operations Manager.
The is an exciting opportunity for a graduate, with at least 1 year of proven experience in a similar role within financial services, looking to pursue a career in Operations. The ability to interact with staff, at all levels, in a fast-paced environment while also being flexible, proactive and resourceful. A high level of professionalism and confidentiality is crucial to this role. Excellent written and verbal communication skills, strong analytical ability and attention to detail are equally important.
General Responsibilities
· Comply with the Financial Services and Markets Act 2000 and the relevant FCA/FINRA rules at all times.
· Comply with the firm’s policies and procedures such as treating customers fairly, Training & Competency, financial crime and Anti-Money Laundering and Anti-Bribery and Corruption procedures at all times.
· Keep up to date with all relevant products, legislative and technical changes, as required.
· Follow appropriate ethical standards within the firm at all times, with special consideration given to the firm’s standing as a UK BCorp founder member and its associated environmental and social impact
· Ensure all dealings with clients are carried out in a professional and courteous manner.
· Ensure all supporting documentation is maintained as per company procedures.
· Maintain all standards of performance as required by the firm, including but not limited to following all internal policies and procedures.
· Ensure relevant CPD is maintained and recorded accurately.
Specific Responsibilities
· Data entry and maintenance of the firm’s investment management systems (Third Financial Services – IMS and CRM), including but not limited to responsibility for the following data – custodian data, client data, securities data, transactions, pricing feeds, currency data, benchmark and indices data, static data
· Timely completion and issue resolution of your assigned controls, including timely investigation and escalation internally and direct to third parties to resolve exceptions in a timely manner and to prevent reoccurrence. Update of the controls dashboard with clear and updated narration of the progression of the control completion and steps undertaken to resolve reconciliation breaks
· Trade order reconciliation, effective and timely resolution of exceptions, working with the MASECO Trading team and custodians to ensure timely trade confirm and settlement
· Generation and analysis of data and periodic reporting under the regulatory requirement, for example, client 10% Portfolio Market Drop notifications and transaction reporting
· Responsible for the timely generation and provision of periodic client reports, including requested ad-hoc reports, completing required pre-checks prior distribution
· Completion of periodic contractual reporting to third parties in a timely manner
· Generation and provision of key periodic MI reporting from internal and custodian platforms (AUMs, money in and money out and cash balance reporting)
· Corporate actions administration, receipt of custodians’ notifications, internal notification and processing of the election decision
· Project work, both independently and as part of the team
· Written documentation of processes in required business format with periodic review and update
· Responsible for resolving received queries in a timely manner with polite and courteous communication to both internal and external counterparts
· Assisting your team members with their workload when required or when you have capacity
· On boarding of new custodians and providers
· Ad-hoc responsibilities and tasks as assigned by the line manager
Relevant Skills and Knowledge
· Proven experience in a similar role within financial services
· Technical focus with strong knowledge of Microsoft Office, specifically Excel
· Strong numeric and analytical skills
· Competent individual with willingness to take on responsibility
· A quick learner with ability to absorb and understand requirement
· Organised with a methodical approach, detail oriented
· Ability to carry out multiple tasks effectively to meet deadlines
· Keen, proactive, positive individual with a ‘can-do’ attitude
· Ability to communicate both written and verbally in a respectful but effective manner
· Ability to work independently and complete assigned tasks, sometimes under pressure to meet project deadlines
· Team player with experience of working in a team environment, assisting and supporting others when required
· Tactful, trustworthy, diplomatic, able to maintain confidentiality
· A-levels or equivalent
· Strong knowledge of MS Office Suite
