Purpose:
The Operations Assistant will provide high-quality support and assistance with all general day-to-day requirements of Manchester United Women’s FC Team (MUW). Working with the Operations Manager this post holder will be responsible for the administration and support of all aspects of training & matchday operations for which the team competes in, the Barclays Women’s Super League, UEFA competitions, The Women’s FA Cup and League Cup and any friendly matches and tours.
At all times, you will be required to perform duties, or additional work, or attend training and/or fixtures outside of normal office hours and/or in different locations either domestically or internationally.

The Role:
Administration:
- To provide support on the administration and logistical aspects of player onboarding and integration, working closely with Club Secretarial & Player Support on player registrations.
- Assist in maintaining accurate player data on FA Whole Game & iFAS, with a continuous requirement to maintain accurate data in line with FA whereabouts compliance.
- Diary management support to Team Management and administration support with expenses claims.
- Organise events and meetings for the department, including the creation of agendas, logistics and guests.
- Schedule weekly MDT meetings. Taking notes and circulating to wider team.
- Assistance with scheduling and communication with key internal & external stakeholders.
- Liaise with the Player Support Department to signpost any player requirements. Provide administrational support as and when required.
- Liaise with the Travel Department to arrange transport, accommodation and ticketing queries for staff across the Women’s Team(s).
- Support on facility bookings and arrangements as and when required.
- Responsible for processing requisition entries and PO’s.
- Management of player/club postal deliveries.
- Support on admin tasks as required.
Matchday & Training Operations:
- Assist the Operations Manager with operational delivery, first class planning & implementation of all home match day administration, communication, and operational activity for the women’s first team.
- Secondary point of contact in the absence of the Operations Manager to communicate an up-to-date fixture schedule, including games across league, cup and pre-season and mid-season fixtures.
- Attendance at all matchday operational planning meetings with Leigh Sports Village and Old Trafford when applicable.
- Secondary point of contact with associations and other clubs. Liaising with away teams, match delegates, officials and league representatives for each fixture in the absence of the Operations Manager.
- An element of travelling to specific locations, both UK and Overseas, for away games, training camps etc, as and when required.
- Assist & direct maintenance tasks and support Operations Manager with training ground operations.
- Provide administrative and logistical support for all domestic matchday ticketing enquiries and hospitality delivery. Working closely with the Ticketing department to ensure all First Team ticketing requests are accommodated in line with policy and procedures.
- Support delivery of documentation/accreditation requirements for all home matchdays.
- Assist with Team Management scouting request.
Relationship Management:
- Work closely with wider club functions, maintaining relationships with key internal stakeholders to ensure smooth operations at the training centre
- Work and support operations and collaboration across multidisciplinary teams.
- Support the ongoing development of relationships with key partners and stakeholders.
- A valid and accepted enhanced FA DBS CRC (Criminal Background Check) or be willing to undertake this if successful
- Knowledge and understanding of child protection issues including holding a valid FA Safeguarding Children Certificate or be willing to undertake this training if successful
- A valid FA Welfare Officer Workshop Certificate or be willing to undertake this training if successful
- A valid FA Level 1 Introduction to First Aid in Football (IFAiF) or FA Emergency First Aid or be willing to undertake this training if successful
- A degree in subject relevant to the role
- Experience of administrative management, ideally within women’s and girls’ football or a similar elite sports related environment
- Sports and/or football development experience
- Experience of supporting and advising teams effectively on off-pitch matters
- Ability to work under pressure and deadlines whilst being able to prioritise workloads
- Experience of taking ownership of projects and seeing them through to completion
- Pro-active and reliable
- Willingness to work weekends and or evenings, and attend matches as the role demands
- Ability to work and travel independently
- IT skills to include a high level of competence using Excel, Word, Access and PowerPoint skills
- Good overall level of numeracy and literacy
- Ability to work in a team environment
