Job Title: Operations Assistant

Hours: Full time preferred, part time / flexible working will be considered

Location: Hybrid Working, you will need to be able to commute to our head office based in Stratford Upon Avon 3 days per week

Salary: Up to £25K, dependent on experience

Due to the continued growth of our client we are looking for someone who has a strong background or experience in administration and who can support the Operations Manager in the day to day running of the office. We require a logical thinker, who is adaptable, able to multitask and understands the importance of having robust processes in place.

The successful candidate will need to be well organised and have experience of working in a fast-paced environment. They will be reporting to the Operations Manager, whilst supporting the Directors as and when required. As a fast-growing business, there are good opportunities for development and progression.

Your main areas of focus will be:

  • Supporting sales administration and completing sales reports
  • Assisting with the management of Accounts – producing sales invoices and processing purchase invoices, expenses, VAT returns, and bank reconciliations
  • Assisting with credit control via QuickBooks
  • Creating and managing technical reports in line with projects schedules
  • Monitoring tracking and reporting on delivery targets
  • Diary / Inbox Management, arranging and supporting meetings as required
  • Helping support with the maintenance and upkeep of project software (Monday.com and other business systems)
  • Assisting with all aspects of office management
  • Liaising with suppliers and customers on a daily basis
  • Supporting the Directors with any requirements including booking travel arrangements and diary management etc.

The Candidate must have:

  • The ability to use their own initiative and to prioritise and multi-task
  • Excellent verbal and written communication skills
  • The ability and confidence to work cross-functionally communicating with all levels of the business, including customers and suppliers
  • Must be PC literate with excellent working knowledge of IT systems, including Microsoft Office suite
  • Have a broad understanding of the principles of CRM systems and project workflows
  • Experience and an understanding of accounting packages ideally QuickBooks
  • Experience in managing a fast-paced administration function in a high-pressure environment.
  • Experience of working with sales to delivery life cycle from an administrative perspective
  • Right to work in the UK

Desirable

  • To have bookkeeping /accounting experience or a qualification in accountancy /bookkeeping
  • To have experience with using QuickBooks / Xero, however full training will be provided
