About the Programme Management Office
The Programme Management Office supports the management, and the efficient and smooth delivery, of Nesta‘s Missions. This is achieved by utilising Nesta’s community of programme managers, project managers and operational staff members, who work together to design and manage Nesta's processes and our ways of working around how we plan, deliver and manage our programmes and projects.
How will an Operations Assistant contribute to Nesta’s success?
You will support the Programme Management Office and Mission teams by performing administrative tasks - ensuring compliance with Nesta’s business processes. In addition, help team members to understand Nesta’s business processes and how to apply them, ensuring the smooth delivery of the Mission’s projects.
Alongside your core duties, team members will have the opportunity to support the Programme Management Office and Missions teams, either through support on the delivery of Programme Management Office projects, occasional support to Mission teams and/or through working as a mission representative feeding into critical organisational priorities such as Nesta’s dedication to Equity, Diversity and Inclusion.
The role
In your role as Operations Assistant you will work closely with the Operations Manager, Programme Management teams and Corporate Services to support the Missions teams:
- Support the Operations Manager to ensure the Mission teams comply with Nesta's business processes using Salesforce to manage and monitor compliance.
- Support the Operations Manager with the monitoring of project spend, by working with the Project Leads, Programme Managers, and Assistant Programme Managers.
- Support the Operations Manager, Missions and Corporate Services with financial mid-year and year-end processes.
- Working with the Assistant Programme Managers to organise team away days for each Mission.
- Support Assistant Programme Managers and Programme Managers with additional administrative tasks, like group travel bookings
- Assisting with the coaching and delivery of training to team members regarding Nesta’s business processes.
- Support Project Leads with the procuring of goods and services, in line with Nesta's Procurement Policy, helping with the signing of contracts.
- Support the Programme Management Office with compiling information for reports and dashboards, as required.
- Collaborating with the Programme Management Office and Corporate Services (as applicable) to help the development of current and new systems and processes.
Skills specification
Essential
- Demonstrable experience working in an office or administrative role.
- Outstanding administrative, organisational and time management skills, with the ability to manage competing priorities simultaneously.
- Proactive problem solver who is willing to work both independently and as part of a team.
- Excellent attention to detail.
- Strong communication skills and the ability to work effectively with a wide range of internal and external stakeholders.
- Good working knowledge of digital tools such as Google Docs, Sheets, Slides and Calendar software.
Desirable
- Knowledge in using specific management software, to provide coordination of projects and programmes, such as Salesforce, Asana and other databases.
- Experience working in a relevant sector, such as a charity or not-for-profit.
- Knowledge of internal reporting of information
What we offer

Location: This role is based in Blackfriars, Central London, but we offer flexibility for our people to work remotely
Term: Permanent
Hours: This is a full-time role but we offer a range of flexible working arrangements and encourage our people to take advantage of them. Many do.
