Operations Administration Assistant (No Agencies) Manningtree, England
Job description
The Operations Administrator is responsible for supporting the Operations team with general project administration tasks, including assisting the Project Coordinator with scheduling the work of the site teams, booking material deliveries to sites, liaising with clients as well the various sales and workshop teams. The role also involves covering for the Despatch Coordinator to help with booking internal and external transport/deliveries of materials and finished fabrications as well as the despatch of orders to customers. This is a fast-paced role that requires attention to detail and the ability to work as part of a team and a willingness to learn. The role reports to the Operations Manager.
Duties and Responsibilities
- Assist to ensure site requirements are met in respect of plant, machinery and materials
- Liaise with clients to organise site team inductions
- Book travel and hotel accommodation as necessary for site teams
- Assist with document control from various document media
- Establish and compile digital and physical project folders and site start packs
- Process and file Company site-related documentation
- Input information into computerised sales order processing system, as required.
- Ensure non-conformities are reported promptly
- Assist the Operations Manager with purchasing activities, and the project estimator and quantity surveyor with tasks, and be willing to learn in order to support these roles

Experience and Technical Skills Required
- Previous experience in a similar role working in a manufacturing, construction or engineering environment
- Some knowledge of estimating, project planning, plant hire and health and safety beneficial
- Excellent telephone manner and written communication
- PC Literate including experience of Microsoft Office programmes and Sage
- Motivated, excellent organisational and negotiating skills
Job Types: Full-time, Permanent
