Duties:
- Provide administrative support to ensure the efficient operation of the office
- Answer and direct phone calls, take messages and respond to inquiries from both the medical experts and Personal injury solicitors
-Ensuring the minimum SLAs are being achieved
- Manage calendars, schedule notifications of expiry of accredidated documents of medical experts of our panel and liaise with them to ensure the valid documents of the experts are in place.
-Maintaining the quarterly VAT files in order to meet the deadline of HMRC.
- Prepare and distribute correspondence, memos, and reports
- Maintain filing systems and ensure documents are organized and easily accessible
- Assist in the preparation of regularly scheduled medical reports
- Order office supplies and maintain inventory
- Recruitment and conducting an internal audit of medical experts on the panel
- Handle sensitive information in a confidential manner
- Maintaining data and to analyse them for audit purposes and to ensure the QC is being met through day to day operations.
Qualifications:
- Proven experience as an administrative assistant or relevant role
- Proficient in MS Office (Word, Excel, PowerPoint)
- Excellent organizational and time management skills
- Strong attention to detail and problem-solving abilities
- Excellent written and verbal communication skills to be able to effectively communicate the client to facilitate them with the mutual appointment offers.
- Ability to prioritize tasks and work independently with minimal supervision
- High degree of professionalism and integrity
- Ability to handle multiple projects simultaneously
