The Role
The Business Support Manager will support the London office in all administrative functions. Overseeing the general administrative and operational functions of the office, providing administrative support to the executive, and supporting the HR and IT departments.
Office Management
- Maintain inventory of office supplies; orders new supplies as needed
- Coordinates maintenance of office equipment
- Maintain office files; implements an efficient system for other staff to access files and records
- Maintain a system for recording expenses and the use of petty cash
- Manage conference/meeting room calendars; ensure that conference rooms are at company standard
- Work as point of contact for the building management team; coordinate with them as needed; submit service/repair request as needed
- Manage employee office and building amenities access
- Send out office communications to the staff
- Monitor company main phone line and email
- Check mail daily and distribute accordingly
- Coordinate office meetings, provide support to the president in preparation
- Welcome and direct visitors, clients, and candidates
- Order food and other supplies in preparation for internal/external meetings
- Perform other related duties as assigned
- Manage health and safety
Executive Assistant
- Provide high-level administrative support and assistance to the President and/or other assigned leadership staff
- Collaborate with Travel Coordinator to coordinate travel arrangements for the President
- Prepare agendas and schedules for meetings
- Redline documents and presentations
- Record and distribute minutes or other records for meetings
- Perform other related duties as assigned
Systems Administration
- Tier 1 ability in AV, printer, computer, conference room meeting setup, internet, basic IT troubleshooting, inventory/supply management, building contact/point of communication
- Maintain essential IT operations, including operating systems, security tools, applications, email systems, laptops, desktops, software, and hardware
- Perform other related duties as assigned
- Own projects, solutions, and key responsibilities within a larger business initiative
- Handle business-critical IT tasks and systems that provide commercial advantage in a global marketplace
- Nurture dependable IT infrastructure and networking that’s always up and running
- Partner with internal and external partners to communicate project status, activities, and achievements
Human Resources
- Assisting with culture and engagement, including but not limited to community service and office events
- Coordinating with the IT department in preparation for onboarding and offboarding
- Assisting the HR team with recruitment needs including, reviewing applicants and scheduling interviews
Requirements
Education and Experience
- Associate degree in technology or computer science or equivalent experience
- Proven work experience in IT
- Experience with or knowledge of scripting languages and operating systems; current equipment and technologies, enterprise backup and recovery procedures, system performance-monitoring tools, and cloud applications.
Skills/Abilities
- Preferred Experience with Microsoft 365 and other SaaS solutions for CRM, voice, and workflow automation
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Excellent interpersonal and customer service skills
- Excellent time management skills with a proven ability to meet deadlines
- Interpersonal Skills
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
- Extensive knowledge of office management procedures
- Proficient in Microsoft Office Suite or related software
- Strong understanding of clerical procedures and systems such as recordkeeping and filing
- Ability to type at least 60 words per minute
- Ability to work independently, proactively, and takes initiative
- Ability to function well in a high-paced and at times stressful environment
