Job description
Safe at Home Society (SAHS) is looking for an Office Manager to join our community-based team! This individual must be a strengths-based, creative team player committed to preventing homelessness by staying client-centered and housing-focused.
This position is 37.5 hours/week and will be administered and directly supervised by Safe at Home Society’s Program Supervisor but is very team focused.
Start Date: Immediately
POSITION QUALIFICATIONS AND SCOPE
Responsibilities:
Providing a range of administrative support functions including but not limited to:
· Confidential File Management
· Scheduling of appointments and meetings for a growing team
· Recording budgetary spending (petty cash and visa)
· Supporting internal staff members with various tasks (printing, scheduling, running errands, shopping, mail)
· Liaise and schedule with external contractors.
· Manage all security features and keep all assets and equipment logs up-to-date
· Liaise with partner organizations to collect their most up-to-date information for SAHS' clients
· Keep social media up-to-date (working with external contractor) and handle donation delivery and storage
· Oversee all office systems and liaise with IT department for all staff computer needs and finance for all staff phone needs.
· Provide staff on-boarding training and document preparation with Program Supervisor
· Provide a warm, welcoming, non-stress environment for incoming clients.
· Provide coffee, snacks and retrieve client mail, fill out tax intake form, update case notes and connect clients with correct frontline staff.
· Other responsibilities as directed by the Program Supervisor/Executive Director of Safe at Home Society
Qualifications:
· Completed diploma or education in a related field such a project management, business administration, or human resource management; or 2 years demonstrated experience in a similar position
· Awareness of the complexities of homelessness, poverty, and the colonial context of homelessness in Yukon, and related issues;
· Strong understanding of community agencies, resources, and the cross section of service providers in Yukon; and
· The submission of a Vulnerable Sector police check
· Standard First Aid Certification or willing to obtain upon hire
· Naloxone/Narcan training an asset
Skills & Abilities:
· Computer skills with proficiency in Microsoft Office and Excel;
· Demonstrated ability to work independently and as part of a team;
· Strong written and verbal communication;
· Possess the ability to manage competing priorities and coordinate several tasks at one time;
· Experience providing administrative support to senior management;
· Experience managing confidential documents;
· Experience managing confidential correspondence, minute taking, scheduling meetings, assisting with funding applications;
· Supporting staff with design of communications materials for client support, community events and workshops; and
· The ideal candidate will thrive in a diverse environment, will think ahead, excel with task prioritization and be adaptive to change.
