We are looking for an Office Experience Manager to join our growing team, reporting into the Jennifer Reid, Co- Group CEO. An Office Experience Manager is the supportive force behind both. You are a problem solver with excellent communication skills and impeccable attention to detail. You are skilled at performing administrative tasks and providing support to coworkers and Leadership. The ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.

What You'll Do:


Office Management/Support:

  • Anticipate and prepare required office orders from supplies and snacks to computer equipment.
  • Receive and organize deliveries.
  • Restock the kitchen and office supplies as needed.
  • Ensure our office spaces (meeting rooms, common areas, kitchen, etc.) are tidy, functional, and comfortable so our team can work happily and productively.
  • Organize and coordinate space and event needs for internal/external events (Town Halls, Strategy Meetings, Board Meetings, etc.).
  • Act as the main point of contact and reception for all visitors, making guests at Rival feel welcome when they arrive.
  • Responsible for the opening and closing of the office, managing the schedule of volunteers to ensure the security of our office.
  • Manage daily operations like inventory maintenance, supplies procurement and office security systems. You will be the point of contact for many of our vendors and assist in scheduling and coordination of office administration and related projects.

Executive Support:

  • Manage executive calendars, using the utmost discretion and attention to detail.
  • Track and prepare expense reports as required.
  • Book flights and accommodations as required.
  • Support our on-going executive meeting cadence – take notes in meetings as required and track any required follow up/action items from meetings.
  • Support Board Meeting arrangements, including preparing meeting materials, presentations, and agenda.
  • May be required to provide personal assistance to the CEOs in scheduling and running errands.


What You'll Have:


  • 2+ years of experience in an operations or office management role (or similar).
  • Exhibit resourcefulness and feel energized when you’re able to “cross things off the list”.
  • A fine-tuned set of prioritization skills coupled with an innate ability to respond to competing demands.
  • Have a proven ability to handle confidential information with discretion.
  • Show reliability and consistency—you know how important it is to reply to messages in a timely manner and deliver on tasks when you say you will.
  • Deliver, be outcome-oriented and not satisfied with “I tried.” You don’t stop until the goal is achieved!
