What you will do:
- Support many aspects of the business. You will be supporting many aspects within the business. Some of your areas of responsibility are:
- Office management, you will be making sure the office is running smoothly by ordering office supplies and equipment, being the liaison between the property managers and Common Wealth, managing mail, courier requirements and planning events.
- Human Resources admin, working closely with our Director of People Operations you will ensure all employee files are up to date, tracking vacations and helping to organize and execute all employee onboarding and offboarding activities.
- Operations & Sales support, on an as needed basis you will be stepping in to support other teams and helping them with some regular or ad hoc tasks that help Common Wealth achieve its goals.
- Finance tasks, in collaboration with our finance team you will support outcomes such as payroll, invoicing and receipt tracking.
- Tech support, working closely with our Chief Technology Officer and our DevOps Infrastructure Engineer to facilitate wiping laptops, setting new employees up in the back-end system and owning the inventory of the physical equipment.
- Ensure the office operations run efficiently. While being a master of organization you will be anticipating the needs of the business. As we are a fast-growing company a lot will fall under the office manager's bucket. You will be working on large projects across the company while being the person employes go-to for anything that might need to be done from an office management perspective.
- Execute at a high level. You are a master of organizing the people and processes that affect the business. Making the lives of everyone in the office easier is something you feel passionate about. You have no ego attached to the work and never believe any task is too small or too large. While executing both regular and ad-hoc tasks that constantly come up, you continuously look for ways to implement processes, practices, and technology to further increase efficiencies. You will be reporting to the Chief Customer Officer and meeting regularly for feedback and guidance.

Currently we are using an office 365 for managing most department files and other various platforms for completing business needs. You will also be required to set up systems as well as be the first point of contact for technical issues employees may be having.
- Improvement mindset; you have a strong understanding of best practices within office management responsibilities. You use that understanding and holistic business sense to evolve processes within the organization, and are regularly adjusting those processes as the team and company grow.

This includes base salary ($65- $75), health and dental benefits, life insurance, health spending account, a 5% employer match into one of our award-winning group retirement plans, and four weeks of vacation. Our team currently operates using a flexible, hybrid work model with the option for remote work. We have an office in downtown Toronto for those that prefer to work from the office. Our growing team combines deep expertise in the key disciplines necessary to help our customers achieve retirement success. We have also formed partnerships with world-class investment and annuities providers, including BlackRock, the world’s largest asset manager, and Brookfield Annuity, a leading provider of group annuities.
