About the role Balfour Beatty are currently looking for a Office Manager to join our Rail team based in Cardiff. Role Purpose: To support staff engagement and communications towards a positive regional culture, providing a range of secretarial and administration support to the project team. To be responsible for the effective management of office facilities and supporting administrative resources for the Wales and Borders Region What you'll be doing As a Office Manager, you'll Work With Legacy and Engagement Manager to support activities to improve staff engagement and to engender an inclusive and positive culture, including development and implementation of an engagement action plan Manage programme of internal communication including regular staff updates, briefing notes, and maintain the regional Sharepoint site as a communication hub Ensure statutory and communication notices are displayed and kept up to date Provide administrative support to Regional Director and senior leadership team, where applicable Undertake multi diary management and screen incoming mail, telephone calls, emails and messages and manage responses directly on behalf of the Regional Director, as required · Arrange and attend meetings/conferences and engagements events as required, to facilitate, take minutes, and ensure appropriate facilities are organised Develop and administer office management processes and systems to ensure the efficient and effective running of the office including compliance with all security protocols and Health and Safety requirements Monitor and check the quality of services provided by external suppliers, contractors and other relevant third parties Work with the Procurement function to secure best deals as well as complying with company-wide procurement processes and suppliers Support the preparation and testing of a Business Continuity Plan and in its enactment in the event of an emergency Who we're looking for You will have the following: Experience in staff engagement activities Experience in managing a busy office environment and managing a team Experience in prioritising own/others’ work and of allocating and checking work Highly organised and able to work on own initiative Strong communicator able to communicate confidently with all level of colleagues within the business Excellent team working skills and able to build relationships at all levels Why work for us Day in, day out, our teams deliver amazing projects in challenging conditions; developing, managing and maintaining the vital infrastructure and public spaces that modern economies, societies and communities rely on.
