We will continue to expand as we implement new marketing strategies and broaden our business processes.
We are currently looking for an Office Manager. Working directly with the CEO, you will drive many aspects of our business operations automation and expansion and play a primary role in our exciting growth journey. This is a brand-new position with a lot of potential for the right candidate. At the start, this role will include a lot of streamlining of processes, researching of systems and implementation of a variety of procedures. Once all of this is up and running, there will be many ongoing and new tasks and projects, as this role will continue to keep evolving over time.
We are looking for someone who has streamlined company processes in the past and is eager to do so again. The successful candidate must be able to maintain a high level of confidentiality, be forward-thinking, organized and a self-starter with the ability to multi-task on an ongoing basis. Responsibilities:
- Setting up an accounting system and importing data from various spreadsheets
- Reviewing data in current systems and syncing data to the new accounting system
- Researching and recommending credit card merchant, online annual renewal and CRM systems
- Reviewing archived files and extracting information to be imported into the Accounting system
- Compiling information for monthly financial reporting
- Reviewing and completing expense reports, paying and issuing invoices
- Liaising with various vendors and providers
- Making bank deposits and reconciling bank statements
- Payroll and benefits administration
- Assisting the CEO with recruitment
- Developing and implementing onboarding and other training programs
- Creating online fillable forms, an employee manual and additional company policies
- Researching/developing, implementing and maintaining an employee database
- Setting up and attending trade shows in the U.S. and Canada
- Managing and overseeing the office and facilities
- Maintaining and monitoring office supplies and ordering accordingly
- Managing calendars, scheduling meetings and arranging travel
- Filing, answering phones and directing calls
- Planning, organizing and coordinating internal and external company events
- Other duties as required
Requirements:
- An Office Administration diploma or equivalent
- At least 3 to 5 years of Office Administration experience
- Must be extremely proficient in MS Excel and MS Word
- Ability to learn and develop new policies, processes and procedures
- Excellent organizational, communication ( verbal and written) and time management skills
- Exceptional internal and external client service skills
- Must have reliable transportation, a valid Driver’s License and passport
- Experience working in an Aviation or Training & Development environment would be an asset
