Job description
IMG Artists' are looking for an Office & HR Co-ordinator who is organised, approachable and detail orientated, with a knowledge of HR procedures to coordinate the smooth running of our London office.
What You Will Do:
- Point-person for the London office, liaising frequently with staff in our European office locations (Hannover and Paris)
- Administrative duties as required for specific staff members
- Assistance with HR operations
Office duties:
- Main IMGA point of contact for landlord and building services within serviced office
- Main contact for all external suppliers (including mobile phones, printers, couriers and archiving) and responsibility for managing procedures for each
- Managing budgets for office costs including stationary, furniture & technology equipment in conjunction with Operations Team
- Organising company meetings, the summer and Christmas parties, as well as any ad-hoc company or social events in conjunction with the Operations team and booking travel and accommodation when necessary
- Coordinating office maintenance and repairs with building services when necessary and overseeing general upkeep of the office space
- Organising post with building services and external couriers when required
- Key contact for communicating IT issues with the IT Consultant and ordering IT equipment
- Responsibility for Health & Safety in the office and ensuring all accreditation is up to date
- Any other tasks required to ensure the smooth running of office facilities
- Administrative support for other senior members as staff as required
HR Operations duties:
- Processing joiner and leaver administration and terms and conditions amendments
- Updating and maintaining the employee database including holiday and sickness records
- Maintaining and processing benefits administration
- Recruitment – managing the Jobs Inbox, posting recruitment adverts online, responding to applications, setting up interviews with line managers and applicants and obtaining references for new staff
- Filing – ensuring the filing system is clean and organised for Artists, Employees and Consultants
- Conducting exit interviews and identifying any key trends for discussion with HR Manager
- Assisting the HR Manager with project work
What We Are Looking For:
Experience
- Proven administrative experience, departmental administration and file management
- Experience of completing HR administration
- Experience of making travel arrangements and managing travel and business related expenses within an organisation
Skills
- Excellent organisation skills and the ability to multi-task effectively, prioritising where necessary
- Excellent eye for detail
- Excellent command of the English language, both written and spoken
- Confidentially is essential due to the sensitivity of various projects
- Proficiency with Microsoft Office
Interpersonal skills
- Excellent interpersonal skills and communication skills at all levels
- Enthusiastic, positive and willing to learn
- A team player but confident to use own initiative
- A good level of common sense, organisation and lateral thinking are essential
- The ideal candidate would be someone who is comfortable working on a variety of projects
