About the Role
We have just opened our brand-new Butlin's Support Centre based in Hemel Hempstead and we're looking for an office coordinator to join the team to deliver and support the overall day to day smooth running and operation of the building.
You will be responsible for all key facilities coordination within the building, ensuring that we provide a safe and comfortable work environment on a day-to-day basis. This will include ensuring that any issues with the facility are reported and dealt with effectively and in line with SLAs agreed with the building owner. You will also be the first point of contact for the security team at Breakspear Park ensuring that our team are using the correct car parks and solving any problems that arise.
You will manage the relationships with any contractors attending the site, including cleaners and maintenance teams. You will need to complete, record and file any maintenance records, as well as Health and Safety records.
We want all team, guests and new starters arriving at the building to have an amazing experience, and you will be on hand to deliver building and health and safety inductions, as well as being the main point of contact for questions and any issues.
You will also be responsible for maintenance of facilities on site and ensuring these are in working order and replaced as and when needed. This includes stationary, tea and coffee facilities and meeting room supplies. You will need to prepare meeting rooms for the team to use, ensuring they have everything to help run meetings/training smoothly.
You will need to liaise with couriers and the team at the loading bay. Prepare, send and receive post/parcels and ensure these are then handed to the correct team.
There may also be some ad hoc admin duties that will need to be carried out.
About You
We're looking for 2 passionate individuals with prior experience in facilities coordination or office management support. These roles would be perfect for anyone looking for part time hours who may also have a level of flexibility throughout the week.
You should have a good working knowledge of building and health and safety requirements and be confident in monitoring policies to ensure 100% compliance with these.
You will be working with a range of both internal and external teams and will be the first point of call for all queries and concerns relating to the building, so you should be a confident communicator with a proactive and calm approach to problem solving.
As with any facilities role, you will need to be able to juggle multiple priorities at any one time, prioritising where needed and ensuring that all team are updated regularly to avoid disruption.
