Job Description: Office Assistant
Payal Events Ltd is an Event Management & Catering Company established over 30 years and, with 2 offices; the Head Office in Manchester which looks after events stemming from the Midlands to the North UK, and a Central London office for South UK. We plan, cater and manage a wide range of Premium of events from Weddings to Corporate Events; the number of guests can be from as little as 5 people up to 3,000.
We work in a range of Premium venues in the North including the Natural History Museum, Blenheim Palace, Old Royal Naval College, Waddesdon Manor & Dairy, as well as building temporary venues in beautiful country settings such as Kiftsgate Court Gardens and West Wycombe Park.
Office Assistant
· Liaising with clients regarding their event including confirming suppliers, developing time plans, floor plans, menus etc on behalf of MD / GM
· Managing dairies & schedules.
· Arranging & managing call diary & log.
· Organising travel arrangements
· Working with and assisting members of the sales team on a daily basis including attending meetings to ensure smooth transition of coordination tasks following the confirmation of the event
· Meeting and greeting clients of all levels.
· Taking notes & minutes during meetings.
· Ordering office supplies when needed.
· Liaising with clients, suppliers and other staff.
Administrative duties
- Updating company database with client and event data
- Answering telephone calls and taking messages as and when required
- Providing the flexibility to assist several people with their workloads and events as required
Prerequisites to the role
· Ability to work in office.
· Ability to drive (Highly Regarded)
· Strong Leadership skills with confidence in talking to a range of stakeholders, managing a team onsite at events, and proactive response and initiative to making improvements throughout various tasks
· Excellent administrative and organisations skills with good knowledge of Outlook, Word, Excel and PowerPoint
· Ability to multi-task and manage own work load, with solid time management skills
· Strong attention to detail across multiple facets of the position
· A good telephone manner and confidence in talking to a range of stakeholders
· Strong Negotiation Skills with suppliers
· Work as part of a team in the office and on the job
