About The Role:
The core purpose of this role is to support the management team to run the day-to-day operations of the project. We are a busy and growing provider of youth development programmes, and this role will liaise with everyone in the organisation to ensure things are running smoothly! The key activities will include day to day office and operational management, HR and finance administration, managing systems, liaising with staff and customers, and coordinating the project activities that bring our goal to life. We are expecting to see rapid growth within 12-18 months of this role starting and are able to provide a clear development and progression structure for the right candidate to work up to an office manager role.
The key areas of accountability include:
1) Day-to-day Administration
- Manning the reception area to greet visitors and taking inbound enquiries to signpost to the best member of the team to help.
- Customer service and communications, including updating schools and parents on student attendance.
- Purchasing office supplies and products for our youth enterprise programmes.
- Managing the regular compliance activities like PAT testing, insurances and DBS checks etc.
- Coordinating HR and recruitment activities, such as requesting references and uploading documents / personal details to our HR system.
- Basic finance administration such as inputting purchase receipts.
- Supplier liaison, including management of the cleaning contract, booking maintenance services and general facilities management.
- General support for the management and delivery team, including production of training resources, booking event dates, managing mailing lists and coordinating site visits etc.
- Attending quarterly Board meetings to support the team by taking minutes and monitoring the completion of actions.
2) Project Management & Development
- Producing process guides to document key practices within the business.
- Supporting the management team to roll out new events, products and services.
- Supporting the team to manage qualification and assessment processes, including the coordination of evidence for marking.
About The Ideal Candidate:
We are looking for the below experience, skills and knowledge for the successful candidate to succeed and to grow with us.
Essential
- Experience in administration or office management
- Passionate about supporting organisations with a social impact
- Highly organised with strong project management skills, able to manage multiple activities and priorities concurrently
- Approachable and down -to-earth, willing to be hands-on and help with all kinds of tasks
- Strong IT and communication skills, able to liaise with internal staff, external customers and young people confidently, face to face and online
- A systems thinking mind-set, able to identify areas of improvement and make suggestions on how to develop robust practices
- Flexible and adaptable, able to work in a fast paced and moving environment
Desirable
- Experience in designing, developing and implementing business management practices, systems, processes etc
- Experience in working around young people
This role is part time, 18 hours per week, over 4 days. We are flexible.
Due to the nature of our work, you will need to undertake an enhanced DBS check and Safer Recruitment processes.
