Job description

We are looking for an energetic Facilities and Office Manager to be based at our Holborn Gate office, in central London. I this role you will manage the day-to-day operations of the office. We have recently brought several new teams together into Holborn Gate and there is an exciting opportunity to bring these together.

You lead relationships with a range of suppliers, building management and Facilities Management to ensure our staff have a safe, clean, and secure office to enjoy.

This role will be based onsite in the Holborn Gate office with no opportunity for hybrid/remote working. There may also be a need to work from other sites as required.

Role Responsibilities

  • Responsibility for the administrative activities that facilitate the smooth running of the office, including liaison with service providers, invoice processing, budget management, catering, archiving, front-of-house services and general administrative support.
  • Directing, co-ordinating and planning essential building services and maintenance (including security, M&E, health and safety, cleaning, recycling, plant hire, pest control, etc), conducting risk assessments and ensuring that all facilities comply with current legislation and safety requirements.
  • Building and maintaining strong and collaborative relationships with key Agency stakeholders, and developing strategies to foster a positive workplace culture, including onboarding, diversity, wellness, socials and other activities aimed at creating an engaging workplace environment.

  • Experienced Office Manager in a dynamic environment
  • A customer service focus, with the ability to build lasting relationships internally and externally
  • Knowledge of HSE regulations and other environmental codes of practice, ideally with NEBOSH Health & Safety Accreditation
  • Ability to work effectively under own initiative
  • Excellent project management/organisational skills with an eye for detail in budgets
  • Composure and resourcefulness under pressure
  • A "completer finisher"
  • Maintains absolute confidentiality
