Job Role:
Domiciliary care Office Administrator
Principal Responsibilities:
- To deal with incoming/outgoing mail, emails, telephone calls and to keep an on-going record of relevant telephone numbers.
- To assist with staff recruitment processes and to update the Staff Training Matrix once any training has been completed.
- To ensure office resources are managed effectively and to keep up to date stock lists
- To take responsibility for all typing and photocopying, ie, general correspondence, letters, reports, layouts, minutes, forms etc. as requested
- To communicate effectively with all parties ie Clients, Contracts providers, Staff members, families etc, and to deal with people in a pleasant and efficient manner
- To instigate and maintain an orderly filing and archiving system
- To ensure that all appointments, meetings, messages, alterations, cancellations etc. are noted in the diary and that a continuous liaison with the Managers is maintained.
- To deal with orders, delivery notes, invoices, statements, lodgements etc and to start up relevant systems keeping correct up to date records or ledgers
- To input staff worked hours on a weekly basis
- To complete reports as required by the Managers
- To maintain staff and client files within statutory and company guidelines
- to take part in internal and external staff meetings and also in training activities as directed.
- To be committed to a team ethos across the company and respect the diversity of other team members at all times
- To maintain confidential information regarding care users and staff records
- To carry out other reasonable duties as may be required
Requirements:
- Excellent communication skills
- Experience in a similar post is required skills
- Genuine desire to help and ability to relate to people
- Be consistent in their performance and punctuality
- Have patience, sensitivity and sense of humour
- Reasonable knowledge of English
- Have caring and respectful approach
