We are looking for a highly organised and reliable Office Administrator to support the company based in its Wimbledon Head Office overseeing a team of 80 employees. This role has 3 main areas of responsibility: the day to day running of the office, executive travel and finance administration.


Part time role hours Mon-Fri 10-3


Responsibilities :


Office Administration:

  • Managing company correspondence, including phone calls, letters and packages
  • Keeping all areas of the office organised, tidy and well stocked
  • Organising routine maintenance of office equipment
  • Coordinating and monitoring regular services and contract management including office cleaning, plant maintenance, air conditioning, car park management and health and safety
  • Organisation of company events, management meetings and corporate functions
  • Collaborating with colleagues and counterparts in ATP Tour who share the office to ensure its smooth running and promote a positive ethos
  • Booking office related staff training (first aid, fire safety, compliance)
  • Communicating with staff on office protocols
  • Managing ad-hoc projects
  • Supporting our Social Committee in any office social staff events

Executive Travel:

  • Manage and organise travel arrangements, including booking flights, transfers and taxis for the Leadership and Senior Management Teams comprising 10 people
  • Liaise with the Production Management Team on event agenda and accommodation details
  • Align travel commitments and practices to Travel Policy and look for opportunities for process improvements
  • Manage travel costs and reporting against budget

Finance:

  • Manage accounts payable inbox and process invoices in Sharepoint for approval and coding.
  • Provide remittances to suppliers once payments have been made
  • Review employee expenses and credit card expenses for accuracy within Concur (expense management system)
  • Preparation of expenses for bi-monthly payment runs.


The Candidate


We are looking for a responsible and diligent person who has:


  • Proven experience in a related role such as Office Assistant, Receptionist or other relevant position
  • Is self- motivated and enjoys taking responsibility for their work and completing it to a high standard
  • Has exceptional organisational and time management skills
  • Outstanding communication and interpersonal abilities with a desire to help others
  • Finds satisfaction in keeping their work space highly organised, tidy and in good working order
  • Is able to plan work effectively to meet deadlines but also able to adapt quickly when priorities change
  • Experience in booking international travel
  • Excellent problem-solving skills and aptitude for helping other people
  • Knowledge of Microsoft Office

We manage the production, distribution and commercial exploitation of the broadcast rights of the ATP Masters 1000 and Nitto ATP Finals tennis tournaments as well as the ATP 500 and ATP 250 events. Tennis TV streams every ATP Tour tournament to a global audience, with over 2,300 live matches a year on www.tennistv.com and a wide range of streaming devices.
