JOB DESCRIPTION – MURROW and GOREFIELD PRIMARY ACADEMIES

Post Title: Senior Office Administrator

Purpose of the post:

To lead a team to provide administrative support to the academy in maintaining its aims and objectives by providing an effective secretarial and administrative service within the establishment.

Main Objectives:

Provide timely and effective operation of secretarial and administrative support to the Headteacher and staff in accordance with good secretarial practice, reporting to the Headteacher and SLT.

Assist the academy by maintaining good relationships with staff, parents, governors, contractors’ representatives and external agencies in order to promote the objectives of the academy.

Be aware of and comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection.

Report all concerns to the appropriate person.

Management of reception – security/visitors, ensuring that the visitor’s book and the in/out register for children/contractors are maintained.

Work with administrative, HR and finance colleagues to allocate tasks and ensure the needs and priorities of the academy are met. Tasks to include, but not restricted to, the following:

  • Experience managing a small team
  • Experience in a school office environment
  • To communicate effectively and in a timely manner with the wider SLT and Trust Administration teams
  • Understanding of and ability to prioritise in a school office environment
  • Ability to delegate
  • Ensure the Critical incident plans and folders are up to date
  • Good understanding of the Single central record and to be responsible to chase outstanding documentation to ensure safeguarding is maintained.
  • Pupil Arbor to include attendance, new starters and leavers, morning registers and chasing absentees.
  • Banking of all monies (dinner, trips, water, uniform, etc.) including breakfast club, after school clubs, trips and holiday club monies.
  • Understanding of the legal requirements for reporting – eg Census etc.
  • Collation, dispatch and filing of half-termly and end of year reports to parents.
  • Over see the administration relating to after school clubs, tickets for school performances, parents evenings and school photograph appointments.
  • Over see the assistance of the finance department with chasing overdue dinner monies, including sending out notes to parents and making telephone calls as required.
  • Oversee the opening of incoming mail and distribute according to

Headteacher’s instructions.

  • Answer the telephone, take messages, give advice and respond to general enquiries.
  • Undertake routine photocopying and filing for staff as directed.
  • Arrange routine & emergency maintenance of the building.

Monitor and maintain a healthy, safe and secure work place in order to minimise risk to self and others. This also includes keeping the office work space appropriately tidy.

Contribute to the overall ethos, work and aims of the academy.

Participate in training, other learning activities and performance development as required.

Any other duties commensurate with the duties, responsibilities and grade of the post.

All staff in the academy will be expected to accept reasonable flexibility in working arrangements and the allocation of duties including duties normally allocated to posts at a lower responsibility level, in pursuance of raising pupil achievement and effective team working.

Essential Skills and Experience

  • Office experience – ideally School office experience
  • Personable
  • Computer literate
  • Able to use word, excel and powerpoint – or be confident to learn the basic skills
  • Organised
  • Telephone manner

Salary: £22,369.00 per year
