This is an exciting opportunity to join our busy Lettings office in Guildford as the Office Administrator.
Reviews
- Share with the team any good reviews.
- Respond in a timely manner on Google Business to be displayed publicly.
- Report any spam to Google.
Card Machine and Holding Deposits
- Do the daily Z total report on the card machine.
- Send Vernon & Tammy daily totals and payment details.
- Hold on to receipts and file them away each month.
Suppliers
- Keeping on top of bills and making sure they are scanned and sent to the correct department.
- Helping with any account changes or closures.
- Ensure any services are carried out.
Monthly and Weekly Statistics
- Keep on track of weekly deals and the details, fill out a spreadsheet to send to management.
- Summarise all the weekly deals in to a monthly spreadsheet and send it to management at the end of the month.
Touting
- Keep an eye on anything new appearing in our patch to copy the link into a spreadsheet.
- Identify the property's full address and list details on the SS.
- Search our sales and lettings database for the owners’ details and notify the manager should we find a successful match.
- Either pass on details to the manager to call or send a touting letter.
Move-Ins
- Preparing the correct number of keys required for a move-in.
- Liaising closely with the moving team to make sure everything is prepared, and helping sort any teething issues with this.
- Making sure the team are notified of move-ins for the week and weekend so it runs smoothly and key handover is easy.
Key Management
- Tag up any new keys or additional sets.
- Make sure the key number is input on to Veco and the spreadsheets.
Team Support
- Answering and dealing with phone calls whilst the team is busy.
- Processing any walk-ins that come into the branch looking for properties or advice, taking down details and giving the team to register.
Office Involvement
- Ordering office and utility supplies.
- Keeping on top of suppliers' billing and sending to relevant accounts departments.
- Point of contact for IT and phone issues/developments.
Listing New Properties and New File Organisation
- Assist with uploading property details and photos on to Veco.
- Check the information is all correct on Veco, including LL fees.
- Send around a PDF to the negotiators with crucial information.
General
- Pick up voicemails & pass on.
- Greeting anyone that walks through the door.
- Pull call logs from the day before and send them to the manager each morning.
- Process any post that comes through, whether for the tenant or branch. Send to relevant departments within the company.
Job Type: Full-time
Salary: £25,000.00-£30,000.00 per year
