Role and Responsibilities:
To provide administrative support to the Operation Teams in Leicester
Purpose: To assist in the smooth and efficient operation of the office through the implementation and operation of appropriate systems and work practices and provision of administrative support.
Main Duties and Responsibilities:
Maintain internal databases, for example, RADAR, Webroster, Nourish
Manage training for all staff
Arrange and take minutes of meetings when required and distribute the minutes in a timely manner after meetings.
Co-ordinate with the payroll team, process staff and service user mileage, training payments etc.
Co-ordinate all interviews for all service and work closely with the recruitment to ensure new starter compliance and to oversee the recruitment pipeline.
Collate weekly hour’s information and use to populate relevant organizational reports, reviews and systems.
Maintain organisational systems and processes to ensure efficient control and storage of all information and records and undertake a range of record-keeping and monitoring tasks, compiling with GDPR and organisational requirement.
Manage/answer any incoming and outgoing telephone calls and emails to ensure that they are redirected and/or logged appropriately.
Ensure that incoming and outgoing post is handled effectively and logged for the whole office.
Undertake appropriate training and development activities to meet the requirements of the post.
- Comply with organizational policies and procedures at all times.
- Work in a flexible way in order to support colleagues to ensure an effective service is given.
- To undertake any other reasonable duties in line with the general responsibility of the post, including:
- Meeting and greeting visitors to the Registered Office.
- Ordering of stationery and COSHH supplies and managing requests from services
- Supporting the Registered Area Manager and Team Managers with administrative support.
- Monitoring of budget plans with Team Managers for Supported Living services
- Maintain utility bill/correspondence files for Supported Living services
