Position: Branch Office & Servicing Administrator
Department: Greenock Branch
Location: Unit 3 Carnock Street, Greenock
Working Hours: 0830-1700 – 5 days a week
Reporting to: Branch Operations Manager
Job Description:
Outstaff are seeking a Branch Office & Servicing Administrator to join our clients Greenock Branch of their organisation. This is a diverse role that involves LSA (Life-Saving Appliance) servicing and office administration, where the candidate would be responsible for customer interaction and logistics support. The role requires a flexible approach as every day is varied and fast-paced.
The ideal candidate must be confident in coordinating all aspects of the business, have excellent communication skills, and provide special attention to customer contact and liaison. Key responsibilities of the role include:
Key Responsibilities:
- Dealing with service inquiries in person and through telephone & email, and providing technical product information to customers as required.
- Use of computer system for service paperwork and certification.
- Booking in and scheduling of service work including Liferafts & Lifejackets.
- Ensure sales orders are entered, delivery noted and invoiced accordingly.
- Log serviced products on internal database and create appropriate certification.
- Monitor service schedules and liaise with customers to notify them when work is complete.
- Ensure customers products are available for collection with all appropriate paperwork.
- Updating Branch Company records in accordance with regulations.
- General office administration.
Education and Training:
- The candidate must be educated to A Levels or equivalent.
- IT competency (Word/Excel) is essential, and full training will be given on Company software.
- A Full UK driving license is required.
Skills and Abilities:
- A general knowledge of the marine industry would be advantageous.
- The candidate must have excellent communication skills.
- The ability to problem solve under pressure and adhere to strict timelines is necessary.
- The candidate must be able to multitask and work independently, whilst remaining part of the team.
- A “Can Do” attitude is paramount as every day is different.
- The role will require a good team player who can cover for other members of staff during periods of leave for additional duties as and when required.
