The Role:
We are looking for a Conveyancing Administration Assistant to join our growing Finance and Administration team in Herne Bay. This will be a busy and varied role involving activities relating to residential and commercial conveyancing transactions. This newly created position presents an exciting opportunity for the successful candidate to further shape the service currently provided to our Clients.

The Candidate:
You will have previous experience within the legal industry, good attention to detail and be able to balance priorities in order to meet deadlines. Knowledge of conveyancing procedures would be an advantage. You will be a self-motivated individual who enjoys working and contributing as part of a team. You will have good time management skills, clear verbal and written communication skills and a willingness to take responsibility for managing your own workload.
Duties & Responsibilities:
- Review Completion Packs;
- Generate disbursement bills in a timely manner;
- Post-completion administration;
- Regular consideration of client files and advising fee earners on any action required;
- Prepare files for archiving;
- Liaise with fee earners on overdue bills, completing agreed actions and ensuring that accurate records are kept;
- Send statements to clients and, if requested, summary of costs breakdown;
- Respond to queries from fee earners and secretaries; providing support and training as required or escalate as appropriate;
- Compliance with the Firm's routine accounts and administrative disciplines;
- Complete the whole range of processing, including client, office and nominal;
- Process all transactions speedily and accurately in accordance with SRA Accounts Rules and internal policies;
- Take card payments over the telephone and produce receipts for both fee earners and clients;
- Assist the department with month/year end queries as required.
