Office Administrator

This role will be to provide flexible support at our head office and also to our various branch offices. The successful candidate will be based at our Eastwood head office in a mainly 'back office' role but may also be required to help out in customer-facing areas and also provide office cover at our other branches as required.

Key Responsibilities after initial training:

Responsibilities at the Eastwood Head Office:

  • Working with the Business Administration Manager to process charity donations collected at our offices. This will involve the accurate recording of all donations received, corresponding with clients and sending donations to charities. This will require focused and meticulous attention to detail.
  • Working with the Business Administration Manager to produce our in-house Funeral Stationery from the proof stage through to ensuring they are printed and delivered in time for funerals. This will involve accurately creating proofs, dealing with any amendments and printing the approved versions in a timely manner.
  • Process internal requests for stationery and supplies from the branch offices
  • Accurately maintaining ongoing records as required, both computer and paper based. The office systems are a mix of computer-based and paper-based systems, the ability to efficiently manage both will be required.
  • To deal with telephone calls in an efficient and courteous manner. This may be from colleagues at other branches with queries but also members of the public and clients.
  • Assisting colleagues with administrative tasks relating to on-going funerals such as typing funeral confirmations and funeral accounts.
  • Helping out in the main office to deal with visitors when required, including those who wish to view the deceased, accompanying them to the Chapel, and taking care of their well-being whilst on the premises.
  • Receiving and assisting doctors and others wishing to view the deceased in the mortuary area, regarding identification of the deceased and completion of cremation forms.
  • To generally maintain the cleanliness of the premises, to ensure the branch maintains a high level of presentation to our clients.

Responsibilities when assisting at a branch:

  • To act as first contact for visitors to the office to deal with enquiries. Arranging appointments for clients to meet with a Funeral Arranger/Funeral Director and assisting with the booking and administrative tasks for the funerals as required.
  • Receiving and assisting doctors and others wishing to view the deceased in the mortuary area, regarding identification of the deceased and completion of cremation forms.
  • Receiving visitors to the premises who wish to view the deceased, accompanying them to the Chapel, and taking care of their well-being whilst on the premises.
  • Dealing with any administrative tasks relating to the funerals at the branch, processing any payments received and keeping records up to date.
  • To generally maintain the cleanliness of the premises, to ensure the branch maintains a high level of presentation to our clients. Ordering supplies as required.

Person specification – essential attributes:

  • Effective Numeracy and literacy skills
  • Experience within a busy office environment
  • Experience of dealing with members of the public
  • Effective communication skills, both orally and in writing
  • Smart and tidy appearance and good personal hygiene
  • Effective organisation skills including the ability to organise own workload and use own initiative
  • Effective customer care skills
  • Flexible approach to duties
  • Awareness of the need for confidentiality
  • Ability to work with limited supervision
  • Experience within an office environment with a knowledge of office procedures and effective computer skills, including use of Office 365, and a positive attitude to office technology and paper-based systems
  • Full UK driving licence

Hours of work: 9.00 a.m. – 5.00 p.m. Monday – Friday.

In addition:

  • To be able to work extended hours or to return to the premises for occasional pre-arranged out of hours viewing if required.
  • To join the Saturday office rota if the opportunity arises, and to provide cover for existing members of the rota if required.
  • To participate in pre-arranged training sessions which may involve attendance outside of normal working hours.
  • To engage in training courses and qualifications at the discretion of the business.

Basic starting wage: £10.42 per hour. The business also operates a bonus scheme which staff are entitled to upon successful completion of their probationary period.

Holidays: 5 weeks paid holiday plus Bank Holidays

Sick Pay: As per SSP during Probationary period, following this period a

Company scheme is available.

TERMS OF EMPLOYMENT:

Probationary period: 6 months

Period of Notice: Less than 1 month’s service – nil

1 month’s service to the satisfactory completion of your probationary period – 1 week

After completion of probationary period – 1 month

Method of Payment: Monthly in arrears by Bank Transfer on 15th of Month

Job Types: Full-time, Permanent

Salary: From £10.42 per hour

Schedule:

  • Monday to Friday
  • Weekend availability

  • Eastwood: reliably commute or plan to relocate before starting work (required)
