OFFICE ADMINISTRATOR
3 days per week – ideally Tues, Weds & Thurs
Based in Aslockton, Nottinghamshire
ABOUT CHILDREN’S SENSORY THERAPY
Children’s Sensory Therapy are a team of highly experienced and friendly Occupational Therapists, specialising in Paediatrics and Sensory Integration Therapy, and with a specialist knowledge of Sensory Attachment Therapy. We work with children and young adults from across several environments; home, school, and we also offer sessions in our newly developed therapy centre in Aslockton.
We are looking for a friendly, organised, experienced administrator to support the business with ‘front of house’ management, alongside business support administration activities. We are looking for a team member who can welcome the families we work with, representing the business with a positive attitude and professional appearance.
The role responsibilities include:
· Providing administrative support to the Director, Practice Manager and team of therapists
· Answering the phone, screening calls and dealing with correspondence and queries from members of the team, local authorities and families
· Managing email inbox and directing enquiries to the appropriate member of the team
· Administrative tasks such as filing, scanning and shredding
· Setting up meetings and taking minutes when required
· Responsible first aid officer & fire warden
· Diary management & management of clinic space availability
· Setting up new electronic records for clients
· Maintaining client records & Excel spreadsheets
· Maintaining front door security & directing visitors
· Financial admin – supporting with quotation process, remittances & purchase orders
· Stock management and ordering supplies
· Setting up meetings and taking minutes when required
· Arranging catering for meetings
· Arranging training courses for staff
· Locking/ unlocking building in morning and end of working day
· General day to day housekeeping to maintain a clean & tidy environment
· Supporting the Director and Practice Manager to ensure Risk Assessments and Health & Safety documents kept up to date
Experience required for applicant:
· Experience of working in an administrative role, preferably in a small business and/or healthcare sector
· Experience of using electronic patient record systems e.g., Write-upp
· 5 GCSEs or equivalent at grade A to C including Maths and English
· Experience in financial admin would be beneficial
Skills and attributes required for applicant:
· Friendly, warm manner to welcome families into our therapy clinic
· Works on own initiative with minimal supervision
· Competent in the use of Microsoft Office, particularly Excel
· A helpful and flexible attitude to work
· Excellent written and oral communication skills
· Good typing speed
· Able to manage competing deadlines and to work efficiently under pressure
· Able to maintain strict confidentiality and to understand GDPR, Data Protection and Safeguarding
· Able to work co-operatively as part of a team, with team members who work remotely
