What you’ll be doing

  • Be responsible for organising and overseeing all administrative activities that ensure the smooth running of the London office to give everyone at Marshmallow the most productive, innovative and engaging workplace possible

  • Be a stakeholder in our company culture in the office environment; working closely with the rest of the People Team and our Tech Ops Team

  • Be responsible for Health & Safety, Fire Safety, and Security and develop our processes for compliance in these areas

  • Working within the budget, monitoring spend, keeping on top of office ordering

  • Manage the office; upkeep, kitchens, meeting rooms, catering, etc with the support of our Day Porter

  • Liaise with the landlord, building management, security, etc as required

  • Manage relationships with suppliers, including partnering with Finance on a budget for ongoing office costs

  • Partner with the people team to support onboarding new employees into the organisation - be front of house and guide new employees on their first day with tours of the office and teams

  • Greet guests and liaise with building reception to ensure everyone has the access they need

  • Own all things social; we love getting together and you’ll be running point on organising and arranging social activities and company-wide meetings in and out of the office

What we’re looking for from you

  • Experience working front of house - this could be in an office environment or in hospitality

  • Office facilities experience or exposure - this could be as an office coordinator, office manager or EA

Our process

We break it up into 3 stages:

  • Initial call with Ellie our HQ TA Partner (25 mins)

  • A skill-based interview where you will discuss your previous experience with Alice from the People Team team (1 hour)

  • A culture interview with Caroline Gillard to check that your work style fits our processes and values (1 hour)

  • We’ll let you know if you’re invited to an interview or not. But, as a small team with a lot of applications to consider, we can’t give personal feedback on each application.

Background checks

To meet our regulatory obligations as an FCA-authorised financial services company, we need to do some background checks on all new hires. That means carrying out a DBS check and making sure you don't have any live criminal proceedings. Feel free to ask our Talent Acquisition team if you have any questions about this!
