The Opportunity
Reporting to the Mortgage Operations Manager, the Mortgage Administrator will provide support to the Society’s Customers, Brokers and Mortgage Underwriters and Mortgage Processing team with the administrative processes relating to new mortgage business.
The fulfilment of general administrative duties in connection with the management of the Society’s mortgage portfolio post completion, including those customers with characteristics of vulnerability,ensuring that the interests of all customers are central to our culture and purpose and embedded throughout the organisation.
The Mortgage Administrator supports their customers in realising the benefits of the products and services they buy by acting in their interests without unreasonable barriers during the post sale completion process and ongoing administration of their Mortgage products.
There will be an initial requirement to work on site at our Head Office in Edinburgh for training, however following this the role can be worked on a hybrid basis with time spent between home and office.
Key Responsibilities
- Collation of underwriting requirements in connection with new mortgage applications.
- Provide excellent customer service to our Intermediaries, direct advisers and members on their mortgage journey.
- Assisting with the processing of on-line mortgage applications including the accurate keying of data to the Society’s systems as required.
- Provide updates as necessary to relevant parties as to the progress of mortgage applications,
- Production and issuing of mortgage offer documents to all relevant parties.
- Administering release of funds for new mortgage business to solicitors and borrowers.
- Review BACs processing report daily and action accordingly.
- Processing of documentation received by the Society in connection with the completion of new mortgage business.
- Process the transfer of customer files from activate to MSS5.
- Take fees and Instruct valuations and re inspections.
- Check payment for re inspection invoices and pass to finance for processing.
- Review Quest daily, print Valuations and send to Doc Assessors for processing.
- Check and execute legal documentation received by the Society in respect of the administration and redemption of mortgage accounts.
- Assist with the provision of Management Information to the Head of Operations as and when required.
- Assist with the maintenance of the Society’s Mortgage Manual and other Operations policy and guidance documents as required.
- Administration of Title Deeds and associated documents including completing standard and non-standard correspondence and documentation for issue to Solicitors and borrowers, making and receiving telephone calls in connection with queries of Title Deeds and associated documentation.
- Deal with maturing policies assigned to mortgage accounts. Execute legal documentation received by the Society in respect of administration of life policies, as directed by the Mortgage Operations Manager.
- Filing of Head Office paperwork in respect of mortgage accounts ensuring that the electronic customer system is accurately maintained.
- Deal with Procurement fee enquiries, maintaining records of payments.
- Support inbound telephony.
- Complete compliance training within the timescales stated.
- Support the update of introducer’s details on MSS5, Activate and MV.
- Deal with and resolve complex mortgage queries from customers.
- Prepare statements and Letters for the Housing Association quarterly returns.

Management may add or subtract from the list of duties in order to meet the need of the business as they see fit and as per the terms and conditions of contract.
