The role of the Portfolio Management Office Analyst is to support the Head of Transformation Portfolio Office and the Strategy & Transformation Director in its administrative and analytical tasks .
Key Accountabilities:
Governance & Reporting
- Work in a team and take the lead to successfully manage the day-to-day processes and activities within a PMO Function.
- Co-ordinate team tasks and activities, managing to deadlines, anticipating challenges, difficulties, and pressure points
- Identify and support the mitigation of delivery risks, as well as facilitating the resolution of issues / blockers
- Work effectively with a range of stakeholders across business, technology and data teams to support the efficient running of the PMO function and to ensure that H&B Engagement Management standards are maintained throughout the delivery of the programme.
- Support the Governance structure and meeting cadence for our ongoing Portfolio Management
- Work with project leads to acquire and consolidate information required for Portfolio level reporting to senior stakeholders
- Be responsible for the production and distribution of monthly reports and meeting packs for the Strategy Transformation Partners and senior stakeholders
- Manage communications from the Governance mailbox including regular reporting cycle requests and reminders
Portfolio Management
- Understand the differences between different project / programme delivery structures and governance models
- Manage project/programme costs, including the establishment of baseline costs and tracking, and contingency planning.
- Update and administer the integrated portfolio plan as required using reports from project managers (reviewing, clarifying with projects, escalating issues / questions as required)
- Ensuring individual project plans are created and maintained, deliverables tracked against time and cost, and resource utilisation is monitored and callout out resource conflicts
- Manage the Portfolio Risks, Issues Dependencies and Assumptions register (reviewing, challenging and escalating as required)
- Manage document and information distribution, report collation and team communication
- Set up and manage a clear document management folder structure on SharePoint and other systems
- Develop and maintain a repository of project templates to support project managers
Meeting Management & Output Capture
- Organise and facilitate Portfolio / programme meetings and follow up with team members to focus on project delivery issues and actions
- Capture outputs from regular and ad hoc Portfolio meetings
Ad Hoc Support
- Provide analyst support to project managers and business leaders when requested
- Manage administrative processes on behalf of Transformation – purchase orders, invoices, recruitment pipeline
- Develop and implement a best practice ‘toolkit' and offer support and guidance to the Project Management community, when required
- Experience of programme/project co-ordination/administration and be keen to develop your career in a structured but forward-thinking environment.
- Experience of managing small projects, or exposure to the end-to-end project lifecycle, or managing substantial parts of the project lifecycle
- Experience of working within a structured project management framework
- Knowledge of project management tools and techniques
- Strong experience of the core delivery levers of scope, time, budget, quality, and risk and have insight into how they are used to create and maintain the optimum delivery mix.
- A clear understanding of governance, scoping, planning, project finances, quality, resourcing, risk and issue management, and communications.
