Five Oaks Family Practice is a well-organised training practice in the developing Northern area of Manchester. We are looking for a administrative assistant/receptionist to join our already growing and diverse team. The administrative assistant/receptionist will work with the admin and reception team, under the direction of the Business Manager and Assistant Practice Manager.
Our team is seeking a friendly, dedicated individual for our Medical Receptionist position. The ideal candidate for this job is comfortable responding to medical inquiries, has strong customer service skills and a keen interest in medicine. The receptionist position is primarily focused on answering phones and supporting physicians and other health professionals.
Responsibilities:
- Answer and direct phone calls.
- Answer and direct in person visitor's and patient's questions.
- Answer email questions from the public.
- Transcribe doctor's notes into the medical records.
- Maintain office records.
- Deal with insurance companies.
- Process prescriptions.
- Book appointments.

Job Title: Administrative Assistants/Receptionists
The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Maintaining and monitoring the practice appointment system
b. Process personal, telephone and requests for appointments
c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
d. Action all incoming emails
e. Signpost patients to the correct service
f. Process incoming and outgoing mail
g. Initiating contact with and responding to, requests from patients, team members and external agencies
h. Process referrals to external agencies such as secondary care using the electronic referral system (ERS)
i. Process calling letters are requested
j. Process all DNA letters in accordance with current policy
k. Action GP2GP tasks
l. Read code data on EMIS Web
m. Photocopy documentation as required
n. File and store records as required
o. Data entry of new and temporary registrations and relevant patient information as required
p. Input data into the patient’s healthcare records as necessary
q. Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
r. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team
s. Manage all queries (including administrative queries) as necessary in an efficient manner
t. Carry out system searches as requested
u. Maintain a clean, tidy, effective working area at all times
v. Monitor and maintain the reception area and notice boards
w. Support all clinical staff with general tasks as requested
In addition to the primary responsibilities, the medical administrator may be requested to:
a. Partake in audit as directed by the audit lead
b. Support administrative and reception staff, providing cover during staff absences
c. Complete opening and closing procedures in accordance with the duty rota
d. As required support GPs in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
e. Ordering and monitoring of stationery supplies
The reception shift we currently have available is a mix of 8.30 am to 4.30 pm and 12.00 noon to 7.00 pm, however these may change in the future and cover for annual leave and sickness will be required.

Salary: £18,291.00-£19,364.00 per year
