RECEPTIONIST
JOB DESCRIPTION
DUTIES
- To attend to patients at the reception desk. Assisting the patients with any problems of a general nature as and when they arise.
- To learn, understand and maintain the appointment systems relating to the doctor’s and nurses’ clinics/surgeries and carry out all relevant procedures.
- To answer the telephone, taking messages and conveying their content to the appropriate doctor or member of staff and relaying replies back to the patients as applicable. Documentation of all messages.
- To take full details of all requests for home visits, urgent appointments etc. and ensure that the correct details are passed on to a doctor. All such requests being entered in the log.
- To deal with emergencies in a prompt and efficient manner according to practice protocols. Contacting the duty doctor/nurse, calling a 999 ambulance or giving first aid as appropriate to the occasion and circumstances.
- To organise and make arrangements for home visits, domiciliary visits, hospital admissions etc. together with any necessary transport, e.g. ambulance, sitting car or alternative.
- To find the patients medical records and return them to the shelves afterwards, accuracy in filing being very important.
- To operate the filing/scanning system for medical records, hospital correspondence, laboratory reports etc. recording, filing and retrieving information from the files/computer record as necessary. Maintain and repair the medical records as appropriate.
- To make full use of the computer and familiarise yourself with the operation of the same using the computer as required for obtaining, recording and updating patient data etc. To learn and understand the periodic computer housekeeping functions in which you will be required to participate.
- To complete actions on Mail Manager as per surgery protocols and inform patients of outcome as appropriate.
- To participate in the repeat prescribing system and the resolving of all related queries.
- To open and distribute the mail and post mail as and when required.
- To be responsible for the maintenance of a Petty Cash Record.
- To liase and co-operate with all colleagues including attached staff i.e. the district nurses, health visitor, chiropodist, midwife etc.
- Collate New Patient packs as and when needed, checking documentation on return and booking NP Health Checks and updating spreadsheets.
- To make liquid refreshments as necessary.
- To be responsible for surgery security; switching off computers and lights, locking up specified items, turning on the alarm and locking all exits.
- To attend any necessary training courses / sessions. To learn, understand and participate in the running of new procedures as required by management.
Child/Adult Protection:
The post holder will comply with the practice guidance and protocols relating to the safety of children and adults. The post holder has the responsibility to ensure that the welfare of all children and vulnerable adults is paramount and prioritised at all times and must be prepared to share information with the statutory agencies
A receptionist should be sympathetic yet firm with a sense of loyalty to the practice, maintain strict confidentiality and work together with the other staff to ensure the smooth running of the practice. Some degree of flexibility in regard to finishing time will be necessary.
Job Types: Full-time, Permanent
Salary: £10.00-£10.50 per hour
Schedule:
- 8 hour shift
- Monday to Friday
- Overtime

COVID-19 considerations:
All patients must wear a face mask within the Surgery. All staff wear masks when walking around the Surgery. Staff Testing available at present but not mandatory.
