Job description
The following job description provides a broad guide of the sort of duties that the receptionist is expected to perform. The Receptionist can expect the support of the doctors and the practice staff in order to carry out these duties. Periodically, the receptionist will be encouraged to attend courses relevant to the post as arranged through the Practice Manager.
· Answer incoming phone calls, transferring calls and dealing with callers’ requests appropriately
· Signpost patients to the correct service
· Initiating contact with and responding to, requests from patients, team members and external agencies
· Photocopy documentation as required
· Data entry of new and temporary patient registrations and relevant patient information as required
· Input data into the patient’s healthcare records as necessary
· Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team
· Manage all queries as necessary in an efficient manner
· Maintain a clean, tidy and effective working area at all times
· Maintain the reception area and notice boards ensuring information is up to date.
· Support all clinical staff with general tasks as requested
· Support administrative staff, providing cover during staff absences
· Action incoming emails when necessary
· Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
· Complete opening and closing procedures, ensuring doors & Windows are closed and air conditioning unites switched off.
· Action medication requests, ensuring they are processed accurately and efficiently. Liaise with Pharmacies re: patient medication
· Opening post when required.
· Complete other task as required
In general, the receptionist should endeavour to be polite and helpful at all times and to conduct his or herself in a manner appropriate to the position.
All practice staff are expected to maintain total confidentiality in that no information about patients, whether personal or medical, should be disclosed to persons other than those employed by, or attached to the practice for whom such information is relevant.
The session required are 08:00 to 13:15 and or 13:00 to 18:00.
