This is an exciting time to join the Museum as we have secured investment from the UK Government to build a new science and digitisation centre at Thames Valley Science Park, University of Reading. The purpose-built centre will house much of the Museum's collection and will include laboratories, digitisation suites, collaborative research spaces, conservation labs and workspaces

Job Summary
The Museum is seeking a Records Manager
To lead on audit, transfer and management and care of Sectional Documentation and Modern Records currently held within Scientific Departments moving to the Thames Valley Science Park. The purpose of this project is to support Scientific Departments moving as part of the Programme to identify semi current records held, provide training, guidance and support to identify and process these records ready for transfer to the Modern Records Store prior to their move to the Thames Valley Science Park, and enable future accessibility to those collections.
The role will liaise with colleagues across the Museum both within the Programme team and Scientific Departments as well as the Museum Archives to audit Sectional Documentation, advocate for and facilitate transfer to the Modern Records Store, and enable future access to this material through detailed databasing.
The role will identify where there are gaps in knowledge relating to records management and will assist the Records Manager in developing training and guidance and deliver workshops and additional training sessions for staff to promote records management in the Museum.
The role will assist the Records Manager in the development and refinement of the Science Information Asset Registers to aid effective and consistent records management practice as well upholding Museum scientific practice and wider legislative requirements. The role will also work to review the backlog of records held in the Modern Record Store for either transfer to the Museum Archive, destruction or continued retention as outlined in the Museum’s Information Asset Registers.
Main Responsibilities
- Working with wider project colleagues, lead on auditing and information gathering relating to Sectional Documentation for the Modern Records.
- Undertake appraisal and weeding (as appropriate) of Sectional Documentation held within Departments and in the Modern Record Store in accordance with Museum Information Asset Registers, collections management policies and legislative requirements for Museum records under the Freedom of Information Act 2000 and Public Records Act (1958 and later amendments).
- Liaise with relevant colleagues in Scientific Departments to advocate for and arrange transfer of Sectional Documentation to Modern Records; completing relevant documentation, agreeing timescales and facilitating the physical move of the collections.
- Facilitating the income of transferred records to the Modern Record Store.
- Database transferred records in Calm records management, to recognised standards and in accordance with the relevant legislative framework including copyright and UK GDPR, to enable appropriate management of and access to the collections.
- Use, create and update relevant project spreadsheets and documentation to ensure appropriate management and recording of the project.
- Identify gaps in knowledge and assist in the development of training and guidance documents for staff relating to Sectional Documentation project.
- Host workshops and additional training sessions for staff relating to records management and the Sectional Documentation project.
Person Specification
- Postgraduate qualification in Archives and Records Management, or equivalent, recognised by ARA.
- Proven experience of records management
- An understanding of the legislation, including copyright, freedom of information, data protection and the Public Records Act (1958 and later amendments), relevant to the maintenance of and access to institutional records.
- Ability to apply organisational policies and procedures relevant to managing modern records
- Experience of records management standards and the use of Information Asset Registers or other retention and destruction schedules.
- Knowledge and experience of Axiell Calm RM or similar.
- Confident interpersonal, written and verbal communication skills including ability to advocate on behalf of the Information Management team.
- Proven ability to work effectively independently or as part of a team.
- Ability to work on own initiative to agreed timescales to take the project through to completion.
- Methodical, organised approach to work and strong attention to detail.
- Excellent IT skills
