We have a fantastic opportunity for a PA to the Managing Director and Office Manager to join our team within Vistry Housebuilding Eastern, at our Chelmsford office. You will be providing full administrative support to the Managing Director, as well as carrying out ad-hoc administrative tasks delegated by the business.

PA Function
- Collation of board packs as required on a routine basis, plus liaison with JV partners.
- Assist the MD in collation of briefing papers, reports and presentations.
- Support in compiling professional standard presentation materials and documents in Microsoft Office, PowerPoint.
- Oversee and maintain the Region’s online presence on the internal company intranet DUG.
- Oversee document execution and ensure adherence to governance processes.
- Undertake a wide variety of administrative duties such as expense claims, mileage submissions, travel itineraries and accommodation bookings.
- Organise corporate and staff events as required such as conferences, workshops, social events.
- Deal with incoming mail as appropriate and allocate items where possible. When appropriate originate replies under own signature or prepare drafts/documentation for signature.
- Support the Group HR function for the Region as and when required.
- Respond to and resolve a wide range of queries from internal and external stakeholders.
- Assist the MD with communications and other ad hoc tasks as required.
- Maintain and collation of Corporate Hospitality information.
- Management of Regional credit card facility, receipts and COINS input.
- Complaints management.
- Lead on charity events and promotion of staff / community activities throughout the Region.
- Attend Group PA events and liaison meetings.
Office Management Function
- Directly manage Reception staff and associated duties. Providing cover during busy periods, sickness and annual leave.
- Provide coordination and leadership to the wider administration team.
- Receive visitors and provide refreshments / organise catering as needed.
- Act as point of contact and liaison to landlord and Group Facilities.
- Ensure relevant information is communicated to admin resources at all times and that team briefs are attended.
- Process new starters including IT arrangements, inductions etc.
- Maintenance of all office facilities including building maintenance, security, monitor cleaning contract, utilities contract as required, etc.
- Manage overhead orders as required.
- Responsibility for H&S in the office, and upkeep of premises plans and business continuity plan, including fire risk assessment, fire marshals, first aiders and mental health lead.
- Ensure that all areas around the office are clean and tidy, free from any hazards and maintained to an acceptable standard – photocopy areas, meeting rooms, kitchens, toilets etc.
- Update and distribute staff telephone directory and Site / Hub Directory
- Ensure the quality and the importance of implementing Company procedures.
- Assist with external audits as required.
