EVENT PLANNING, OPERATIONS & PROCUREMENT

We are looking for managers and management trainees in event planning, operations and procurement.

Responsibilities

Event Planning:

  • Work with client and Lead Designer to establish the requirements for events and projects
  • Research and develop full package solutions for events and projects according to requirements
  • Analyse and report event and project financials, budgeting and pricing
  • Research trending and novel event design and entertainment trends; propose unforgettable Moments for VIP events and projects
  • Research venue logistics, supplier product and service specifications and feedback practical constraints to event designer
  • Plan and manage on-site event and project preparations, production, and event clear up, project maintenance

Procurement:

  • Build and maintain database of venue and supplier contacts and product / service details
  • Develop and maintain our networking with top venue managers and key suppliers
  • Research and discover new industry trends, new venues, products and services that add value to our offerings
  • Evaluate and select venues and suppliers of top quality, reliability and cost-effectiveness
  • Negotiate contracts compatible with our budget and requirements
  • Oversee venues and suppliers progress and quality
  • Manage event and routine stock and inventory levels

Operations:

  • Manage customer orders and customer service
  • Plan and manage event or project operational schedule
  • Plan and optimise event, project and festive temporary staffing level
  • Brief, motivate and manage operation crew
  • Plan and optimise event and routine delivery logistics
  • Maintain and manage equipment inventory
  • Analyse logistical and operational risks to devise mitigations and backup plans

Requirements

  • Experience in planning or coordination
  • Strong interpersonal, communication and reporting skills
  • Self-movitated and proactive; active communicator and problem solver
  • Experience in building and maintaining positive business relationships
  • Excellent organizational skills, including multitasking, time management, and attention to detail
  • Ability to lead, delegate, motivate and monitor junior team members
  • Ability to handle pressure, analyse problems, make good decisions or report issues clearly
  • Excellent analytical skills and business sense
  • Flexible working hours according to event and festive requirements
  • Presentable and able to travel to luxury venues in and around London.
