Maintenance & Workshop Administrator Bishops Stortford, England
Job description
To ensure carryout all administration functions relating to the smooth and profitable running of the workshop and office. This includes liaising with customers, suppliers, engineers, updating job management systems and compiling basic financial reporting. You should have a positive ‘can do’ attitude, be a great communicator and team player. You will be flexible, hardworking and enjoy the challenge that comes with working in a growing company.
Under the general guidance and support of the Managing Director, the position will be office based, with the opportunity to also work at home after training. The role will require that work is completed in a timely manner and to a high-quality standard. You will demonstrate initiative and be a self-starter who is able to plan and prioritise daily, weekly and monthly tasks.
Direct skills required:-
- Produce and input customer invoices.
- Produce and send customer statements.
- Liaise with customers on payments and escalate as required.
- Update and communicate customer stop list.
- Reconcile company credit card usage.
- Manage utility supplier accounts.
- Produce and manage documentation for HR.
- Communicate any changes to bank details.
- General office duties including filing, scanning, post.
- Ordering stationary and office consumables.
Direct/Indirect skills required:
- Liaise with suppliers ordering parts as required.
- Ordering parts and supplies for the workshop
- Approve supplier invoices as required.
- Assist with monthly Sage reconciliations.
Qualifications/education required:
- GCSE Maths & English
- Full UK driving licence
- Assist with quarterly VAT returns.
- Assist with Year-end reporting.
Experience required: (training will be given as required)
- Basic understanding of LGV1 R&M matters
- Basic understanding of crane R&M matters
- Experience for defect categorisation
- Basic understanding and appreciation of O Licence vehicle requirements
- Professional & friendly manner using the phone
- Professional & friendly manner talking to customers and suppliers face-to-face
- Competent with Microsoft Windows and Microsoft Office applications
- Basic Sage 50 Cloud
- Organised with attention to detail
- Understanding of LOLER crane regulations and application to sidelifter equipment
- Use of workshop management system (training given)
- Good communications skill and excellent initiative
- Friendly, self reliant, an attention to detail and self motivated
Job Type: Part-time
Part-time hours: 20-22 per week
Salary: Up to £16,500.00 per year
