Job description
Our client focuses on two principal areas of investment expertise: outcome-based, multi-asset investment and single-strategy, active investment e.g., UK, European, US and global equity funds. They are seeking a Team Assistant to manage the Head of Equities’ diary and to deliver effective and efficient administration support to all members of the Fund Management team. The successful candidate will also provide cover support for the Office and Facilities Manager. This role is offered on a hybrid working arrangement – minimum of four days in the office each week. There is a possibility that the role could become permanent longer-term.
Roles & Responsibilities
Manage travel arrangements properly in accordance with the budget and travel policy and ensure a good flow of communication regarding status and plans and comprehensive, accurate itineraries are handed over in advance.
File all documents, reports and papers for the team in a well-organised and appropriately accessible system.
Complete Fund Managers Corporate Access paperwork and Training & Competency (T&C) records monthly.
Liaise with the Marketing and Sales teams to ensure presentations for conferences/meetings are prepared in good time.
Collate printing and labels for weekly mail outs of research notes.
Prepare monthly expenses.
Liaise with third parties, their brokers and Investor Relations teams to schedule meetings for Fund Management team members, and with the Sales & Marketing teams to ensure related requirements are met.
Support Compliance by logging gifts and entertainment, building a comprehensive record of offers/acceptances of meetings and building or maintaining any other records.
Experience & Qualifications
Experience of working within asset management.
Experience of working in a busy office environment.
Educated to at least GCSE level or equivalent.
Strong MS Office skills, particularly Word and Excel.
