What we are looking for:
LEK Consulting is seeking an experienced Executive Assistant (EA) to Clay Heskett, our Global Managing Partner (GMP). More on Clay can be found https://www.lek.com/leadership/clay-heskett
This is a great opportunity for a seasoned EA with extensive administrative experience supporting senior C-suite executives with a proven track record in a fast-paced, dynamic environment.
This critical position is responsible for providing comprehensive support to the GMP, Global Operating Committee (GOC), Global Leadership Team (GLT) and managing the office of the GMP remotely. The successful candidate requires the ability to organize and plan effectively, anticipate needs, think critically and proactively, and offer solutions with a high level of professionalism and confidentiality.
The successful candidate will provide dedicated right arm support and sophisticated calendar management for GMP. Prioritize inquiries and calendar schedule, including coordination of virtual and in person meetings, while troubleshooting conflicts; make judgments and recommendations to ensure smooth day - to - day engagements. The EA will also act as the primary point of contact / liaison for external and internal stakeholders on all matters pertaining to the GMP, including those of a highly confidential nature. The role is hybrid in London.
Responsibilities:
- Provide dedicated right arm support to GMP and acting as ambassador for the GMP
- Provide sophisticated calendar management for GMP. Prioritize inquiries and calendar schedule, including coordination of virtual and in person meetings, while troubleshooting conflicts; make judgements and recommendations to ensure smooth day - to - day engagements
- Act as the primary point of contact / liaison for external and internal stakeholders on all matters pertaining to the GMP, including those of a highly confidential nature
- Prioritize conflicting needs and proactively follow up to address any queries/ issues, often under tight deadlines, including response to telephone requests / calls, escalating remaining actions to GMP for resolution / attention. Prioritize and determine appropriate course of action, referral or response, exercising judgement to reflect GMP’s style and priorities
- Extensive travel management and coordination of in- person meetings globally to ensure efficient time management of GMP travel arrangements
- Timely arrangement of meetings with established agenda items along with any follow up actions required by the GMP and attendees
- Act as a liaison and provide support to the GOC and Board. In collaboration with stakeholders e.g., Chief of Staff (CoS) schedule meetings; draft agendas; develop, compile and distribute presentation materials and record meeting minutes via Boardvantage, where appropriate. Manage documents needed for various meetings and decisions
- Complete a broad variety of administrative tasks that facilitate the GMP’s ability to effectively lead the firm, including: assisting with projects, designing and producing documents, reports and presentations; collecting and preparing information for meetings with Partners, staff and external parties; composing and preparing correspondence among other requirements
- Coordinate all expense reporting. Maintain a system for recording expenses, which will streamline the submission of weekly expense reports utilizing Concur expense reporting system
- Work closely with the GMP to keep them informed of upcoming commitments and responsibilities, following up appropriately and anticipating GMP needs in advance of meetings, conferences etc.
- Triage constant flow of requests and provide Partners and stakeholders with organized sight into upcoming meetings, deadlines and needs. Assess the urgency of situations and determine appropriate actions, monitor status of pending items, providing follow up and keep stakeholders informed by communicating a wide variety of information
- Facilitate smooth communications between the GMP, Partner group and staff, demonstrating leadership to maintain credibility, trust and support along with assigning duties to appropriate Partners and staff on behalf of GMP
- Work with GOC, Board and Partner group to coordinate GMP’s activities / instructions
- Coordinate GMP weekly meetings with global Core Services leadership and ensure access to leadership to GMP as needed
- Liaise with Information Technology and the CoS to secure, facilitate all logistics, and execute all Global Town Halls and virtual Partner meetings
- Serve as Administrator/liaison for Boardvantage software, coordinating training for new GOC/Board members, maintaining software licenses and creating new Board/GOC member accounts
- Own and maintain key client activities within Sales Force
- Additional projects as directed by the GMP
Requirements:
- Extensive administrative experience supporting senior C-suite executives with proven track record of experience in a fast-paced, dynamic environment
- Excellent communication skills, both oral and written
- Interest and ability to work independently and be self-directed, including directly with sector and practice leaders
- Highly flexible team player with demonstrated professional maturity to readily prioritize and anticipate needs
- Responsive and proactive with the ability to work well under tight deadlines and respond to rapidly changing demands
- Strong organizational and analytical skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Ability to work with minimal supervision and maintain a high standard of confidentiality
- Highly proficient technical skills including Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, SharePoint, etc.)
- Excellent planning skills, including extensive knowledge of Concur with experience in setting up systems to record expenses to streamline the submission of monthly expense reports utilizing Concur expense reporting system
- Excellent interpersonal skills in dealing with diverse groups of people as point of contact for external and internal requests, including meeting and greeting, and ability to represent the GMP professionally to senior external parties where necessary
- Ability to work productively remotely and/or in the office with no supervision or guidance
- Excellent judgement and decision-making skills in relation to priorities and execution of urgent tasks that require quick turnaround, the urgency of situations to determine appropriate actions, monitor status of pending items, provide follow up and keep stakeholders informed by communicating a wide variety of information
- Ability to maintain a high level of integrity and discretion in handling confidential information
- Demonstrated commitment to the effective leadership of the firm
- Understanding of knowledge management and intellectual property concepts is desirable but not essential
- An undergraduate degree is required
