Job overview

The postholder will work as part of the Logistics Team providing the Trust with a range of ‘Networking’ services. They will assist the management team in ensuring the service runs smoothly and effectively on a day to day basis.

The postholder will play a key role in the leadership of the Logistics Operatives, delegating where necessary and ensuring appropriate allocation and monitoring of workload to maintain high standards of service delivery and the safety and well-being of patients, staff and visitors at all times.

The postholder will be required to take a ‘hands-on’ approach to the duties carried out by the Logistics Operatives.

To adopt a caring and friendly manner at all times.

Hours of work are 37.5 per week working between the hours of 6am and 10pm on a rota basis which will include weekends and bank holidays.

Ensure that the appropriate level of service is provided 24 hours per week, 365 days per year.

Assist where appropriate in the investigation of any complaint regarding the service.

To develop and maintain performance and quality standards.

To demonstrate leadership, development and motivation of the team.

Report any faults on the equipment.

Escalate issues which may have an adverse effect on the service provision.

Administration duties required to ensure the department operates efficiently & effectively on a daily basis.

Complete staff training, ensuring that they are fully competent and certified.

Detailed job description and main responsibilities

Main duties are as above as well as the following:

Logistics Duties

The postholder will be responsible for ensuring all the hospitals entrances are kept clean and free from debris, including the removal of all types of waste materials ie., cardboard, glass, clinical and confidential waste, and sharps.

To uphold patient confidentiality at all times, as the postholder will be responsible for the movement of all patient notes across site, as well as the delivery of Trust mail to all wards and departments for Trust business including patients own personal mail.

The postholder will be expected to assist with the deliveries of patients meal trolleys including bread and milk deliveries, and other stores deliveries across the Trust including adhoc linen requests and the collection of dirty instruments from wards and departments which need to be returned to Sterile Services for re-issue.

Collect dirty linen from all wards and departments and deliver to the designated storage areas for later collection by the Linen Services Department.

Collect clean linen from the designated storage areas and deliver to all wards and departments including the emergency adhoc linen requests. Put all items in the linen cupboards in a neat and tidy manner.

Using the appropriate transport, provide a delivery and collection service for essential small items of medical equipment which include inflatable mattresses to be moved from the Equipment Library to wards and departments out of normal working hours ie., 8.00am – 5.00pm.

Undertake specific site cleaning both internally and externally as directed by the Team Leaders, wearing appropriate protective equipment where necessary.

Clear all corridors, wards and departments of empty cardboard boxes, glass, sharps, clinical, domestic and food waste, and place in the designated containers.

Collect confidential waste as required by each ward and department, place bags in a stillage and take to central stores for later collection by the Drivers.

Collect dirty surgical implements from all wards and departments and deliver to Sterile Services, including the emergency returns from Theatres and ICU.

Complete patient confidentiality is required as the postholder will be responsible for collecting patients notes from various parts of the Trust including the emergency requests from the Admissions Unit.

Receive all incoming mail for the Trust. Sort into the correct pigeon holes for delivery to wards and departments.

Collect mail from wards and departments and again sort into pigeon holes for delivery to wards and departments, ensuring that any external mail is passed through to the external postroom for franking.

Sign and receive all courier and/or recorded special delivery mail. Record all items into a book and obtain a signature from the appropriate ward and department on delivery. If a signature is unable to be obtained, ensure that all recorded/special delivery mail is stored securely in the postroom, which is awaiting collection by the recipient.

Stamp and record into the daily postage dockets all packet post mail, which is to be collected by Royal Mail, segregating 1st and 2nd class packets.

Record all business mail into the daily postage dockets, segregating 1st and 2nd class packets.

Ensure that the postroom is kept clean and tidy and secure at all times.

Carry out stores deliveries to wards and departments as directed by the Team Leaders.

Assist other staff with their duties such as furniture removal etc.

To maintain electric vehicles and equipment to defined standards at all times, reporting any defects to the Team Leaders. This will include ensuring that all vehicles are in operational readiness, carry out safety checks including re-charging and topping up of batteries as required.

A basic knowledge of Health & Safety is required in order to correctly complete incident forms and report any untoward incidents to Team Leaders.

Radios are to be collected from the Co-ordinators office at the start of every shift, ensuring they are switched on and fully charged.

To adopt a flexible approach in response to operational needs regarding duties and hours of work.

The postholder will be required to undertake any other duties which may be reasonably required which is appropriate to the grade.

Person specification

Training & Qualifications

Essential criteria

  • ILM Team Leader Award and/or equivalent level of experience working in a supervisory role (minimum 2 years).
  • IOSH Working Safely Certificate or recognised health & safety course/training

Desirable criteria

  • Basic knowledge of vehicle maintenance

  • Extensive knowledge of all ancillary duties and procedures ie., waste, sharps, case notes, clean/dirty/infected linen etc., including knowledge of how to deal with a range of non-routine ancillary activities.
