Job Description


Primary role purpose:

  • To support the Logistics Manager in running of Logistics department & Mail Room at 99 City Road
  • To process all Imports, Exports & Cross-Trade shipments for Inmarsat Corporate on a daily basis.
  • To assist the Logistics Manager and monitor export control guidelines and ensure licence requirements are met.
  • To assist the Logistics Manager in liaising externally with freight forwarders & integrated couriers.
  • Liaising with Internal Departments, HMRC (Revenue & Customs), BIS (Dept. of Business Innovation & Skills) and various Freight Forwarders as and when required.

Qualifications


Key Responsibilities of the position

  • Assisting in ensuring the Logistics Department and Goods in Mail room is managed and run efficiently and effectively on a daily basis and all customer service standards within the business are met.
  • Assisting in ensuring the Logistics Department is run efficiently & effectively providing a high service level to all Inmarsat staff across the business globally.
  • Ensuring processes are maintained in the mail room, goods are checked and recipients are kept up to date with goods in and out of the mail room
  • Maintaining stock levels and dealing with housekeeping for logistics/mail room/loading bay
  • Managing off site storage in and out of City road
  • Continuous improvement to ways of working within good in, ensuring a slick operational process
  • Completing shipping paperwork by making sure all documentation is completed correctly to meet all HMRC/BIS standards.
  • Ensuring that all Department data is updated/completed correctly & filed/recorded accordingly on the Logistics shipping register.
  • Managing the online shipping system throughout the business globally ensuring that all shipments are up to date on a daily basis.
  • Coordinate shipments from door to door providing relevant updates for the team.
  • Intrastat – Ensure that intrastat declarations are completed on a monthly basis for Burum, Fucino & Nemea, liaising direct with each site and finance.
  • Paumalu, Hawaii Reporting - ensuring that all shipments received are declared on a monthly basis direct with the Paumalu site.
  • HMRC Deferment – Manage and monitor all import VAT & Duty in respect of all consignments imported into the UK. Liaise direct with HMRC and finance department to ensure that the correct amounts Duty & VAT are paid each month as per the VAT certificate.

Relationship to others

  • Reporting to the Logistics Manager
  • Overseeing and managing the Goods in department at 99 City Road
  • Liaising with internal departments with regards to all aspects of Logistics
  • Liaising with Inmarsat contacts situated at all Inmarsat sites/offices globally

Decision Making

  • Ensuring that all shipping paperwork is correct and compliant at all times.
  • Demonstrating the ability to manage the logistics department in the absence of manager.
  • Assessing and prioritising the activities carried out within the Goods-In Department
  • Identifying the shipment and deciding on the best price for freight costs on all Inmarsat shipments.
  • Classifying the equipment being shipped and ensuring that all shipments are compliant from an export control perspective.
  • Identify if the equipment to be shipped is subject to the transport of dangerous goods IATA regulation.

Essential Knowledge & Skills

Demonstrable experience within the Logistics, Shipping or Freight Forwarding industry is essential as the position is an important coordinator role which is crucial in supporting the Logistics Manager and Assistant manager in ensuring that the Logistics department has full support in enabling the department to provide an effective customer service to the whole business on a global scale.

All candidates should possess the following:

  • An understanding of UK Export control compliance procedures
  • Awareness of Customs process codes (CPC) & Customs HS Codes.
  • In house Logistics experience in a busy working environment.
  • The ability to work on your own and manage the department in the absence of the Logistics manager.
  • Good command of the English language, both written & oral
  • Drive and enthusiasm, and the willingness to take on additional responsibility within the coordinator role.
  • Good interpersonal skills with the ability to work as part of a team and to display flexibility, initiative and cooperation.
  • Computer literate – Microsoft Word, Excel and Powerpoint.
