Job description

We have a vacancy for a Legal Secretary in our Commercial Property and Private Client teams. This is a full-time position, although time will be split between the two teams with three days being spent in Private Client and two days in Commercial Property. The key purpose of the role is to provide a total secretarial support service to the fee earners to optimise efficiency in the team. The role will be based in our Devizes office. The role holder will provide holiday cover for key team members, as well as supporting both teams throughout the year.

Main Responsibilities:

  • Legal documentation work including high volume word processing of legal documents (including track changes) and correspondence as directed by Partner/Fee Earner (audio and copy typing) using the firm's case management system.
  • Attending to clients on the phone and in person, and providing refreshments for clients, when appropriate.
  • Setting up new files accurately and promptly on instructions from the Fee Earner.
  • Completing Stamp Duty Land Tax forms for fee earners to check and then submitting them online.
  • Obtaining Land Registry documents for the Fee Earners from the Land Registry Portal.
  • Completing probate documentation and organising Court of Protection administration as required
  • Producing client invoices and narratives on a monthly basis for emailing to the client.
  • Monitoring emailed remittance advices to check all payments are transferred to correct client matters.
  • Dealing accurately with filing, storage and retrieval of client's files in accordance with the Team's filing system.
  • Managing diaries and making appointments and the setting up of internal and external meetings.
  • Emailing of documents.
  • Photocopying, fax and document binding duties when appropriate.
  • Ensuring confidentiality and security of all Practice and Clients documentation and/or information.
  • Providing support to other secretaries and fee earners when able to do so within the team and to the wider firm when appropriate.
  • Undertaking any other duties which the firm may reasonably require from someone in your position, for example providing occasional Reception support

Person Specification:

  • Experience of working as a Legal or Medical Secretary
  • Excellent audio typing skills
  • Strong verbal and written communication
  • Good numeracy skills
  • IT literate, particularly in MS Office
  • Self-organised, motivated and proactive.

Job Types: Full-time, Permanent

Salary: £23,000.00-£25,000.00 per year
