LOCATION – LONDON
Hours of work: 9.30am - 5.30pm, 4 days per week.
Role Overview
A busy role involving a very high degree of organising, diary management, travel and itinerary planning and strategic secretarial support. This role is intended to embrace a team-working approach, collaborating with senior members of the firm, lawyers and support teams to fulfil the needs of the business. Very close knowledge of and engagement in the business of the firm is essential to success. You will be confident in attending meetings, taking detailed minutes and managing agreed actions points and will be au-fait with firm strategy and relevant business plans.
Candidate Overview
We're looking for a highly motivated individual who has an ability to build relationships quickly with a wide range of stakeholders on an international basis. You will have strong administration, communication and organisation skills and will offer high level client service delivery. Flexibility around start and finish times is expected.
Additional competencies
We are looking for someone who can demonstrate:
- A real and genuine interest in the business of running a large and international law firm and all aspects of its strategy and operations
- An ability to build relationships quickly with a wide range of people, with the confidence to work with (and to some extent manage) senior people across the firm
- Polite and tactful at all times
- A very high level of autonomy and who can work with very limited supervision
- Proven ability to work at senior management level and manage people of a senior level within the firm
- Passion, reliability, combined with a ‘can do’ and patient approach
- Extremely proactive self-starter
- Ability to prioritise and quickly identify and understand the key issues
- Confident, engaging and open personality.
- Desire to work collaboratively.

Technical Skillset
Key skills needed in particular role: Advance knowledge of Microsoft 365 applications
Desirable skills needed in particular role: iManage (Document Management System); Aderant (Finance System); InterAction (Client Relationship Management System); BigHand Hub/Now (Workflow Management System).
Behaviours
Key capabilities needed in particular role: Robust and works well under pressure; a strong team player; enthusiastic with a keen desire to get involved; a positive can-do attitude.
Experience
The ideal candidate should be competent in the following areas : diary management including multiple mailbox management; national and international travel; business development and event planning; monthly billing processing and management; file opening processing and drafting of letters of engagement; attending meetings, taking minutes and following up on actions agreed.
A strong legal or professional services background is preferred for this role but not essential.
