We are currently seeking a Legal Assistant to join the Business Law 3 Section. This position will provide practice management support to our Legal Professionals, assisting them in providing exceptional client service. The successful candidate will have strong time management skills with the ability to handle competing priorities.
Specific responsibilities include:
- Document management, including proofreading and editing forms of legal documents such as agreements, letters, memos, presentations, organizational charts and other practice specific documents;
- Timekeeping & accounting including entering and finalizing dockets, generating prebills, preparing invoices, and liaising with Finance regarding client billings;
- Preparing Workflow forms and further documentation related to cheque requisitions, trust disbursements, AMEX statements and other accounting procedures;
- Email, phone & calendar management, including liaising with clients, scheduling appointments, arranging conference calls, booking facilities and other meeting requirements i.e. meals, audio visual equipment etc;
- Coordinating firm resources including working with support departments and other legal assistants to ensure required actions are completed in a timely and efficient manner;
- Providing backup support when other Legal Assistants are absent, at capacity, or dealing with tight deadlines; and
- Other duties as assigned.
The ideal candidate possesses:
- Legal Assistant diploma or post-secondary degree/diploma in Office Administration
- 2+ years related experience, preferably within a legal professional services firm;
- Intermediate proficiency in MS Office applications including Word, Adobe, Outlook, Excel and PowerPoint;
- Proficiency in role-specific software including Closing Folders, DocuSign and Visio an asset; and
- Solid written & verbal communication skills, a self-starter with a strong work ethic, and a team player with excellent client service skills
