We are pleased to announce we are seeking an Administrative/Legal Assistant to join our practice in Winnipeg. This role will be a hybrid of office and remote work, based on the requirements of the firm.
We are looking for an energetic, conscientious professional, who can multi-task to meet tight deadlines, has the ability to work independently while ensuring tasks are completed accurately and completed in a timely fashion.
This role requires someone with a can-do attitude that is experienced and has a strong interest in growing with our team.
Key accountabilities and responsibilities:
General
· Responsible for communication with clients, client contacts, witnesses etc
· Arrange meetings and conference calls
· Book boardrooms for meetings and ensure they are set up for meetings
· Responsible for incoming/outgoing mail, faxes, and courier deliveries
· Make travel, meeting and other arrangements
· Monitor task lists, deadlines and calendars
· Opening and closing files, manage electronic client files, scanning and filing, etc.
· Draft correspondence and documents
· File court documents and register documents with Companies Office and Teranet
· Obtain searches
Accounting/Financial
· Preparing accounts
· Process account payments
· Follow up with account receivables
· Process write offs
Corporate
· Monitor the corporateemail address
· Prepare Annual Maintenance packages
· Maintain client file, electronic Minute Books and corporate database
Other
· Assist with overflow work from other assistants
· Provide coverage when other team members are away
· Other tasks as assigned
Qualifications:
- Successful High School Completion
- Successful completion of the Legal Assistant program from an approved educational institution (desired)
- Minimum 3 years’ experience
- Working knowledge of Microsoft Office including Outlook, Word and Excel
- Ability to provide excellent client service
- Ability to assess and balance multiple tasks with different priority levels with a high attention to detail
- Ability to work well with others, independently and as part of a team
